Microsoft CSP Operations & Licensing Coordinator

Employment Type: Full-Time, 100% Remote | 40 hours/week (Monday – Friday), Eastern Standard Time (EST) hours

Location: Remote

Position Summary

The Microsoft CSP Operations & Licensing Coordinator supports the organization’s Microsoft Cloud Solution Provider (CSP) business by managing repeatable operational activities, including renewals, quoting, order processing, subscription administration, billing coordination, reporting, and routine customer and internal communications. This role requires strong attention to detail, clear communication, and adherence to documented procedures while researching standard licensing questions through approved resources and escalating complex licensing, pricing, contractual, or technical scenarios to appropriate experts.

Key Responsibilities

Renewals & Subscription Lifecycle

  • Maintain and monitor the CSP renewal calendar and identify subscriptions approaching renewal.

  • Validate customer products, quantities, commitment terms, billing frequency, renewal dates, and account ownership.

  • Prepare standard renewal quotes using approved pricing, product catalogs, and internal procedures.

  • Track renewal status, customer decisions, and required internal actions through completion.

  • Process approved new subscriptions, renewals, seat changes, upgrades, downgrades, cancellations, and term changes when permitted by Microsoft policy.

  • Escalate renewals involving nonstandard licensing decisions, pricing exceptions, contractual issues, or complex customer requirements.

Quoting & Order Management

  • Create standard Microsoft CSP quotes based on approved SKUs, quantities, terms, and pricing.

  • Revise quotes when quantities, products, terms, or billing options change.

  • Send approved quotes to customers or internal stakeholders according to company procedures.

  • Validate quote accuracy before release, including customer details, SKU, quantity, term, billing frequency, and price.

  • Process approved orders and confirm successful provisioning or subscription changes.

  • Maintain accurate quote, opportunity, order, and customer information in internal business systems.

Microsoft Partner Center Administration

  • Perform routine Microsoft Partner Center tasks using documented operational procedures.

  • Review subscription status, quantities, renewal dates, commitment terms, and billing settings.

  • Process approved subscription transactions and routine tenant/customer administrative requests.

  • Open Microsoft or distributor support cases for operational issues and track them through resolution.

  • Document transaction results, exceptions, and unresolved issues for internal visibility.

Billing, Reconciliation & Reporting

  • Assist finance with routine CSP billing questions and subscription reconciliation.

  • Compare customer subscriptions, invoices, quotes, and internal records to identify discrepancies.

  • Research routine issues involving quantities, dates, product assignments, credits, and billing periods.

  • Maintain accurate customer and subscription records.

  • Produce recurring reports for upcoming renewals, completed renewals, open quotes, subscription quantities, billing discrepancies, and outstanding actions.

Customer & Internal Support

  • Respond to routine questions regarding license quantities, renewal dates, subscription status, commitment terms, billing frequency, quote status, and order status.

  • Provide clear status updates to account executives, finance, operations, and technical teams.

  • Own assigned operational requests through completion or formal escalation.

  • Communicate professionally with customers on transactional and administrative matters within defined guardrails.

Licensing Research & Validation

  • Confirm standard SKU prerequisites, basic subscription terms, and current product availability using approved sources.

  • Verify current Microsoft rules before processing changes affected by cancellation windows, seat-reduction rules, renewal behavior, or commitment terms.

  • Document the authoritative source used when an operational decision depends on Microsoft policy.

  • Escalate when published guidance is unclear, conflicting, incomplete, or requires architectural or contractual interpretation.

Qualifications & Experience

Required Qualifications

  • Approximately 2–4 years of experience in CSP operations, Microsoft licensing administration, software sales operations, subscription management, quoting, renewals, order processing, or a related role.

  • Strong attention to detail and ability to manage multiple renewals, quotes, orders, and deadlines simultaneously.

  • Experience working with spreadsheets and structured business data.

  • Strong written and verbal English communication skills.

  • Proficiency with Microsoft Excel, Outlook, Teams, and common business systems.

  • Ability to follow documented processes consistently and recognize when escalation is required.

  • Ability to research unfamiliar licensing questions using authoritative sources rather than relying on memory or assumptions.

Preferred Qualifications

  • Hands-on experience with Microsoft Partner Center or another CSP commerce platform.

  • Experience preparing Microsoft or software-subscription quotes and managing renewals.

  • Familiarity with Microsoft 365 Business, Enterprise, Teams, Security, and Copilot product families.

  • Prior experience working for a Microsoft partner, VAR, MSP, distributor, or software reseller.

  • Experience coordinating across sales, finance, procurement, operations, and customer contacts.

Education

  • High school diploma or equivalent.

Working Conditions & Physical Requirements

  • Prolonged periods of remaining in a stationary position while working on a computer.

  • Ability to move and/or lift up to 40 pounds at times.

  • Comfortable operating a computer and standard office productivity machinery.
