Job description

The Opportunity

We are seeking a Senior Regional Workplace Coordinator to lead the day-to-day delivery of workplace operations across our APAC office portfolio, including Singapore, Tokyo, Kuala Lumpur, Sydney, and Melbourne. The role combines hands-on office management in Singapore with regional coordination of facilities, suppliers, access, first aid and fire warden arrangements, pantry and office services, workplace projects, local office contacts, and day-to-day issue resolution, while supporting future office openings and expansion across the region.

This role serves as a key regional point of expertise for Workplace and H&S ensuring consistent delivery of workplace standards, regulatory compliance, operational resilience, and an outstanding employee experience. The successful candidate will work closely with business leaders, colleagues, vendors, and global support functions while partnering with the Global Facilities Manager based in London.

This position is suited to an experienced workplace professional capable of operating independently within a fast-paced, highly regulated, global environment. The successful candidate must be comfortable moving between strategic regional coordination and practical operational delivery: maintaining reliable office services, keeping local processes up to date, coordinating office leads and suppliers, resolving employee-facing workplace issues, and following through on open actions until they are complete.

Key Responsibilities

Regional H&S and Compliance

  • Act as the APAC lead for all Workplace H&S activities across the regional office portfolio.

  • Ensure compliance with applicable workplace, H&S legislation, fire regulations, and corporate policies in each jurisdiction through coordination of H&S suppliers, including:

  • Conducting workplace risk assessments, compliance reviews, safety inspections, and audits.

  • Owning incident reporting, investigations, corrective action plans, and compliance documentation.

  • Coordinate emergency preparedness, crisis response procedures, evacuation drills, and business continuity workplace requirements (focusing on coordinating suppliers, monitoring compliance, and ensuring actions are completed).

  • Partner with Global Risk, Security, Compliance, HR, and Legal teams to maintain robust governance standards.

  • Monitor regulatory developments that may impact workplace operations across APAC offices.

Workplace Operations & Employee Experience

  • Singapore Operations (Hands-on & System Optimisation): Take direct ownership of the day-to-day operation of the Singapore workplace - including access, maintenance, office services, supplies, deliveries, and other practical workplace requirements - while continually looking for opportunities to streamline, automate, or improve how these services are delivered.

  • APAC Portfolio Oversight: Oversee day-to-day workplace operations across all APAC locations to ensure safe, efficient, and professional office environments that support employee productivity and wellbeing.

  • Global Alignment & Expansion: With the guidance of London HQ Facilities leadership, implement global workplace standards and service delivery models while accommodating local business requirements, supporting office openings, expansions, relocations, and fit-out projects across the region.

  • Workplace Management: Manage office services, facilities maintenance, space planning, workplace projects, and operational improvements.

  • Culture Champion: Champion a positive workplace experience aligned with company culture and values.

Vendor & Supplier Management

  • Manage relationships, performance, compliance, and service governance with all workplace, facilities, IT, People Team, and operational service providers across APAC, ensuring vendor alignment with company security standards and contractual obligations.

  • Support procurement activities, supplier onboarding, contract renewals, and performance reviews to continuously identify opportunities to improve service delivery, operational efficiency, and value for money.

Governance, Risk & Operational Resilience

  • Support workplace resilience programmes, including business continuity and workplace recovery planning.

  • Ensure workplace operations align with organisational risk management frameworks.

  • Maintain regional workplace documentation, processes, records, and audit evidence.

  • Support internal and external audits relating to workplace services, safety, and regulatory compliance.

  • Escalate significant workplace risks and issues appropriately to management.

Stakeholder Management

  • Build strong relationships with regional business leaders and office occupants.

  • Serve as the primary APAC contact for workplace-related matters.

  • Collaborate closely with Estates, Security Technology, Legal, Procurement, People, Compliance, and Risk teams globally.

  • Deliver effective communication and guidance on workplace policies, safety initiatives, and operational changes.

Reporting & Performance Management

  • Produce regular reporting on workplace operations, incidents, compliance activities, vendor performance, risks, and KPIs.

  • Monitor budgets and expenditure associated with workplace services across the region, as provided by London HQ.

  • Support London HQ Facilities leadership in annual planning, forecasting, and operational review exercises

  • Drive continuous improvement through data-driven decision making and service enhancements.

Leadership & Scope

  • The senior workplace representative within APAC, providing regional leadership through influence, expertise, and governance. The role requires the ability to independently manage a multi-country workplace portfolio and influence stakeholders at all levels of Quantexa.
