Group Executive Assistant (Business & Executive Support)

Location: Full-Time | UK Morning Shift

The Role

We are seeking a highly proactive, resourceful, and organized Group Executive Assistant to support our Director and wider business operations. This is a fast-paced and varied role that combines executive support, business administration, procurement, event coordination, travel management, and personal assistance.

The ideal candidate is a natural problem-solver with an ownership mindset who can anticipate needs, manage competing priorities, and ensure both the Director and the business operate efficiently. You will act as a trusted partner, helping drive accountability, coordination, and execution across a wide range of business and personal responsibilities.

Key Responsibilities:

Executive & Strategic Support

  • Provide high-level administrative and executive support to the Director.

  • Manage calendars, priorities, appointments, and scheduling to maximize productivity and alignment with business objectives.

  • Attend leadership, management, and operational meetings, capturing accurate meeting minutes, decisions, action items, and follow-ups.

  • Track actions and key deliverables, ensuring stakeholders remain accountable and deadlines are met.

  • Prepare agendas, reports, presentations, briefing packs, business cases, and executive documentation.

  • Monitor and manage email correspondence, prioritizing urgent matters and drafting responses where appropriate.

  • Act as a key point of coordination between the Director, leadership team, employees, clients, suppliers, and external stakeholders.

  • Support strategic projects, business initiatives, research activities, and process improvement efforts.

  • Create and maintain trackers, dashboards, reports, and operational documentation.

  • Handle highly confidential business and personal information with discretion and professionalism.

Business Operations & Administration

  • Organize and support EOS (Entrepreneurial Operating System) management meetings, ensuring managers are aligned and prepared.

  • Collate departmental updates and content for monthly company meetings and leadership reviews.

  • Coordinate internal communications and follow-up actions across departments.

  • Support business reporting, operational administration, and project coordination activities.

  • Assist with invoice management, expense tracking, contract administration, renewals, and general business operations.

  • Proactively identify issues, bottlenecks, and opportunities for operational improvement.

  • Employees are expected to demonstrate a security-first mindset and ensure that information security considerations are incorporated into their day-to-day activities, decision-making, and interactions with customers, suppliers, and colleagues.

Procurement & Vendor Management

  • Manage company purchasing requirements, including IT equipment, software subscriptions, office supplies, gifts, and other business-related purchases.

  • Source suppliers, obtain quotes, compare options, and coordinate procurement activities.

  • Liaise with vendors, contractors, and service providers to ensure timely delivery and issue resolution.

  • Track purchase requests, renewals, invoices, contracts, and supplier performance.

  • Build and maintain strong supplier and partner relationships.

Travel, Bookings & Logistics

  • Coordinate domestic and international business travel, including flights, accommodation, transport, visas, itineraries, and conference registrations.

  • Manage meeting room bookings, business appointments, and venue reservations.

  • Ensure all travel and logistical arrangements are thoroughly checked and executed without disruption.

  • Coordinate schedules and activities across multiple time zones.

Company Events & Team Activities

  • Plan and coordinate company meetings, leadership off-sites, workshops, conferences, employee engagement activities, and social events.

  • Manage event logistics, communications, catering, suppliers, timelines, and budgets.

  • Support the successful delivery of internal company initiatives and events from planning through execution.

Personal Assistance

  • Coordinate personal appointments, reservations, and lifestyle-related logistics for the Director.

  • Manage personal travel arrangements, family holidays, event bookings, and restaurant reservations.

  • Support property management, relocation activities, contractor coordination, and other personal administrative matters.

  • Anticipate needs and proactively resolve issues before they arise.

Availability & Flexibility

  • Maintain a high level of responsiveness and flexibility to support urgent business and executive priorities.

  • Be available for occasional support outside standard working hours, including evenings, weekends, and public holidays when business needs require.

  • Act as a trusted point of contact for time-sensitive matters and unexpected issues requiring prompt attention.

  • Demonstrate strong ownership and accountability, ensuring critical priorities are managed without disruption.

Qualifications

  • Minimum 5+ years of experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or similar role.

  • Proven experience supporting senior leaders, executives, founders, or directors.

  • Excellent written and verbal English communication skills.

  • Strong organizational, time management, and multitasking abilities.

  • Proficient in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).

  • Experience managing calendars, travel, meetings, projects, and executive administration.

  • Ability to take accurate meeting minutes, track action items, and follow through on deliverables.

  • Experience coordinating vendors, company purchases, events, and business logistics is highly desirable.

  • Strong problem-solving skills with a proactive, ownership-driven mindset.

  • Ability to handle confidential and sensitive information with discretion.

  • Comfortable working independently in a fast-paced, remote environment.

  • Flexible and willing to provide occasional support outside standard working hours, including evenings, weekends, and public holidays when required.
