Job description

The HR Information Support Specialist provides operational, technical, and administrative support for HR Information Management. Working under the direction of the Senior HR Knowledge Management Analyst and HR Information Project Lead, this role supports governance processes, content lifecycle activities, policy approval workflows, knowledge management, and SharePoint content administration.

The specialist supports the maintenance, organization, review, and publication of HR information assets, including policies, procedures, work instructions, forms, guidelines, knowledge articles, and HR content published through SharePoint. This role helps ensure HR information is accurate, accessible, compliant, and aligned with governance standards.

The position requires strong writing and editing skills, SharePoint proficiency, attention to detail, technical aptitude, and the ability to collaborate effectively with HR stakeholders across multiple functions. Additionally, understanding knowledge base administration and policy approval workflows is essential for managing HR information assets efficiently.

Key Responsibilities

HR Information Governance & Content Management Support

  • Support enterprise HR information governance and content alignment initiatives.
  • Maintain inventories, trackers, status reports, and related project documentation.
  • Review HR information assets for compliance with established governance, metadata, formatting, and content standards.
  • Conduct document comparisons and support content consolidation activities.
  • Support content migration, cleanup, archival, and repository maintenance efforts.
  • Track content ownership, review schedules, publication status, and retention requirements.
  • Identify outdated, duplicate, or conflicting content and coordinate updates with content owners.

Policy Lifecycle Administration

  • Support policy review, approval, publication, and maintenance processes.
  • Coordinate policy workflow activities and monitor review schedules.
  • Assist policy owners with document updates and review requirements.
  • Ensure policy documents adhere to templates, formatting, metadata requirements, and content standards to maintain a consistent voice, tone, and user experience.
  • Ensure policy documentation is accurate, compliant, and aligned with policy standards; identify and resolve conflicting, duplicate, or inconsistent guidance.
  • Maintain policy lifecycle records, version history documentation, and audit support materials.

Knowledge Management Support

  • Create, edit, format, and publish HR knowledge articles.
  • Support knowledge article review and approval workflows.
  • Partner with subject matter experts to gather information and draft user-friendly content.
  • Ensure content is accurate, consistent, and aligned with established knowledge management standards.
  • Assist in identifying content gaps and maintaining knowledge repositories.
  • Support ongoing content maintenance and review activities.

SharePoint Front-End Administration

  • Support administration and maintenance of SharePoint sites and content repositories.
  • Create and maintain SharePoint pages, document libraries, navigation structures, and content organization.
  • Apply established metadata, taxonomy, and information architecture standards.
  • Assist with content publishing, page updates, and user support activities.
  • Monitor content quality and compliance with governance requirements.
  • Support user experience and search optimization efforts.

Technical, Reporting, & Process Support

  • Support administration of content management and workflow tools, including ServiceNow and Microsoft 365 platforms.
  • Create and maintain reports, dashboards, and metrics, pertaining to content health, governance compliance, and workflow status.
  • Assist with testing and implementing process and technology improvements.
  • Support metadata management, reporting, and content analytics initiatives.
  • Identify operational improvement opportunities and recommend enhancements.

Stakeholder Coordination

  • Partner with HR Centers of Excellence (COEs), Business HR teams, policy owners, and content contributors.
  • Schedule and facilitate review meetings and working sessions.
  • Provide guidance regarding established templates, standards, and workflows.
  • Follow up on review assignments, approvals, and action items.
  • Support change adoption and user engagement activities.
  • Support the development and delivery of reporting for HR Leadership, including project status, content inventory metrics, policy lifecycle activities, risks, dependencies, and key accomplishments.

    • Content editing and quality review

    • Metadata management
  • Strong to Expert level Microsoft 365 knowledge to include SharePoint Online, Teams, Word, Excel, PowerPoint, Outlook, Microsoft Lists
  • Platforms to include ServiceNow Knowledge Management, Power Automate (preferred), Power BI (preferred)
  • Strong documentation development and process documentation skills
  • Ability to coordinate effectively with cross-functional stakeholders.
  • Data analysis and reporting.

 

Required Qualifications

  • Typically Three (3) or more years of experience supporting content management, knowledge management, policy administration, SharePoint administration, or related discipline with a Bachelor's degree in Human Resources, Business Administration, Communications, Information or Knowledge Management, or related field.
  • Experience creating, editing, and maintaining business documentation
  • Experience coordinating document review and approval workflows.
  • Experience working with SharePoint Online and Microsoft 365 applications as listed above in KSA.

Preferred Qualifications, Knowledge, Skills & Abilities

  • Experience supporting HR policy administration or policy management programs.
  • Experience with ServiceNow Knowledge Management.
  • Experience maintaining SharePoint sites and document libraries.
  • Working knowledge of content governance and lifecycle management concepts.
  • Experience using Power Automate, Power BI, Microsoft Lists, or similar tools.
  • Familiarity with metadata, taxonomy, and document retention.
  • Experience supporting enterprise content or information management initiatives.

       

Compensation Details:

$72k-$90k
