About the role

Ethos is looking for a scrappy, versatile Business Operations Associate to join our fast-growing Annuities team. This is a generalist seat, not a role tied to a single process or queue: one week you might be building the analysis that decides how we staff the next quarter, the next you're project-managing a launch across Product, Sales, and Compliance, and the week after that you're in the weeds fixing a broken workflow yourself because it's blocking the team and there's no one else to hand it to.

You'll thrive in this role if you like operating without a script, can move fluidly between spreadsheet and stakeholder conversation, and get genuine satisfaction from turning a messy, undefined problem into a repeatable process. This is a great fit for someone who wants broad exposure to how a fast-scaling business actually runs, and who has the judgment to know when to dive in personally versus when to build the system so no one has to.

Duties and Responsibilities:

  • Own Cross-Functional Projects End to End. Run point on 2-4 initiatives at a time, partnering with Sales, Product, and Compliance. For example: standing up a pilot program to speed up how a case moves from proposal to funded policy, or coordinating the rollout of a new multi-carrier application tool (e.g. Firelight) across teams.
  • Build the Analysis Leadership Needs to Decide. Turn incomplete data into clear models and recommendations. For example: quantifying how agents split their time between selling and administrative work, or building stage-by-stage funnel reporting that shows where prospects drop off between first contact and a funded policy.
  • Support Scaling the Sales Team. Help run the operations behind hiring and onboarding as the team grows — coordinating candidate scheduling for open sales roles, and working with our licensing team to get new agents appointed with carriers.
  • Document and Improve How We Work. Turn ad hoc, tribal-knowledge processes into clear, written playbooks — for example, mapping the full lead-to-funded-policy journey so anyone on the team can see where a case stands and what happens next.
  • Coordinate Vendor and Systems Rollouts. Partner with Engineering and our carrier and vendor partners (e.g. Firelight, Annuity Genius) to scope, test, and roll out tools that remove manual work from the sales process.
  • Help Run the Team's Operating Cadence. Support recurring rituals like pipeline reviews and forecasting syncs, and help evolve them as the team scales from a handful of agents to a much larger one.
  • Get Into the Weeds When It Matters. If a case is stuck with a carrier and nobody owns it, or a report needs to exist by tomorrow, you're the one who picks it up — and then builds the process so it doesn't happen again.
  • Optimize Systems and Data Hygiene. Keep Salesforce workflows and required fields clean and enforced so the team's data can actually be trusted for decisions.

Qualifications and Skills:

  • 5+ Years of Experience. In sales operations, business operations, or an analytically intensive role at either well-established firms or high-growth tech startups. Insurance, annuities, or other regulated-financial-product experience is a plus but not required.
  • Strong Analytical and Spreadsheet Skills. Able to structure an analysis from incomplete inputs (Excel or Google Sheets) and clearly explain the conclusion and recommendation, not just the numbers.
  • Agile Self-Starter. You want to own and be accountable for projects from Day 1, and you don't wait for permission to fix something you've noticed is broken.
  • Excellent Cross-Functional Communicator. Comfortable working with stakeholders at every level, from field agents to executives.
  • Exceptional Attention to Detail. Your analyses and documents are clean enough to hand straight to leadership.
  • Comfortable with Ambiguity. You're energized, not paralyzed, by a fast-changing environment and shifting priorities.
  • Salesforce or other CRM admin experience is a plus
  • Experience with sales technology or order-entry systems (e.g., Firelight) is a plus

The US national base salary range for this full-time position is $99,000 - $175,000. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
