Job description

Sponsorship Fulfillment Associate

Location: Remote

Hiring Manager: VP of Sales & Success

Pavilion began as a bold experiment to solve a personal problem. In the early 2010s, founder Sam Jacobs realized that the higher he climbed in go-to-market leadership, the lonelier the journey became. Those peer conversations - equal parts therapy, strategy, and camaraderie - sparked a global community of GTM professionals united by shared learning and support.

Today, Pavilion serves nearly 10,000 members worldwide with industry-leading retention and profitability. At over $10M ARR, the brand is synonymous with excellence in GTM leadership. A critical focus for our next chapter is ensuring every member realizes value early, stays deeply engaged, and chooses to renew because Pavilion is essential to their growth.

Role Overview:

Sponsorships extend the value of our community by partnering with companies genuinely relevant to our members' work, giving them access to tools, services, and ideas worth their attention, delivered through co-branded webinars, sponsored dinners, and moments like our flagship GTM conference.

Done well, sponsorship strengthens the member experience by enabling us to create more programming and deliver high quality events both virtually and in real life. That only happens with careful execution and coordination both internally and with our sponsors.

The Sponsorship Fulfillment Associate will own the delivery execution for all sponsorship contracts post-close. This role  proactively coordinates across Sales, Marketing, Operations, Finance, and Member Experience teams to ensure every sponsor commitment is executed on time and up to standards and that there is open communication and clear expectation management with our sponsors.

Key Responsibilities:

  • Serve as the sponsor's main point of contact for delivery questions from contract signature through event/campaign completion
  • Track all contracted deliverables per sponsor (webinars, dinners, conference assets, etc.) and maintain a delivery calendar/status tracker
  • Provide Finance and Accounting with the delivery dates of all items in sponsor contracts so that the revenue can be properly recognized and notify of changes or cancellations promptly
  • Co-ownership with Marketing on co-branded content (webinars, ebooks etc) timelines and assets and promotion strategy.
  • Coordinate with Events/Member Experience on sponsored dinner logistics and guest management
  • Proactively flag execution risks (timeline slippage, missing assets, unclear scope) to internal owners before they become sponsor-facing problems
  • Send sponsors regular status updates ahead of key milestones (e.g., GTM conference)
  • Partner with Sponsorship Sales on handoff at contract signing

Requirements:

  • 2+ years in account management, client success, or program/project coordination
  • Strong cross-functional coordination skills; comfortable chasing internal owners without formal authority over them
  • Experience managing multiple concurrent timelines/deliverables
  • Clear, proactive written and verbal communication for external-facing updates
  • Success Metrics
  • On-time delivery rate against contracted sponsor commitments
  • Escalation rate (issues caught proactively vs. surfaced by sponsor)
