Job description

The Administrative Assistant III-Quality Management provides administrative support to the Quality Management Leadership Team for Quality Management Department needs. This position supports a range of administrative tasks, including department support functions; meetings and workgroup assistance through scheduling, preparation, and facilitation. Maintain the Quality Management team SharePoint site to ensure information remains current and accessible for teams. The position also supports Quality Management department needs by coordinating purchases of supplies, conference registrations, and other approved items as needed.

This position is fulltime remote. Selected candidate must reside in North Carolina. Some travel for onsite meetings to the Home office (Morrisville, NC) may be required

Responsibilities & Duties

Provide Administrative Support to Quality Management Department

  • Responsible for maintaining the Quality Management team SharePoint site to ensure information remains current and accessible for teams
  • Assist and support the creation of new and established Quality Management Microsoft Teams and Channels as directed by leadership
  • Assist and support with the Quality Management P Drive organization as directed by leadership. Assist in the maintenance of files, reports, and data as requested
  • Maintain Quality Management department email distribution lists for teams
  • Draft, edit, and disseminate letters, memos, and other documents as directed by leadership
  • Maintain annual competency with procurement Card Training and Administrative Contracts and Purchasing
  • Reconcile P-card expenditures for the Quality Management department to include accurate documentation
  • Assist with purchases for office supply orders, catering, on site visitor prep, as directed by leadership
  • Support arrangements of conferences, travel, and accommodations as needed or requested according to Alliance policies and procedures
  • Assist with compiling information for audits by State or other regulatory agencies as requested by leadership
  • Create and edit PowerPoint presentations, surveys, and other operational needs as requested by leadership
  • Manage member survey submission for State validating accurate data entry on member reported forms

Provide Meeting/Event Support and Keep Minutes for Assigned Meetings

  • Assist with Quality Management meetings, virtual and in-person, as needed with an emphasis on proficiency and support with virtual meeting management (Microsoft Teams)
  • Manage Quality Management All Staff Department meeting invites, prepare and maintain meeting agendas; and distribute meeting minutes, action items, and related materials
  • Provide administrative and functions for identified Quality Management strategic meetings such as Workgroups, Health Equity Advisory Team, Project Advisory Teams, and other meetings as assigned
  • Prepare, maintain, and distribute meeting agendas, actions logs, and other associated meeting documents
  • Schedule ad hoc meetings for Department Leadership as requested
  • Set up in-person and remote meetings as requested including room logistics, audiovisual support, supplies, meals or snacks, and other meeting materials
  • Coordinate internal/external events, including organizing invitations, reminders, facilities, equipment, and catering

Collaborate with QM leadership on Department Hiring, Onboarding, And Training Support

  • Support Quality Management department onboarding after Alliance Organizational New Employee Orientation, including orienting new staff to Quality Management department, processes and working with the hiring manager to construct an onboarding schedule for new staff

Minimum Requirements

Education & Experience

High School degree or equivalent and four (4) years of progressively responsible secretarial/administrative experience including two (2) years of administrative or office management experience involving substantial public contact, information gathering, and writing experience;

Or

Associate’s degree in business administration or related program and two (2) years of progressively responsible administrative experience including administrative or office management experience involving substantial public contact, information gathering, and writing experience.

Or

Bachelor’s degree in Business Administration, Public Administration, or other related field.

Knowledge, Skills, & Abilities

  • Knowledge of office management techniques
  • Knowledge of Microsoft Office products (A MS Excel and PowerPoint test will be administered to access candidates' level of proficiency)
  • Skill in communicating, both verbally and in writing
  • Skill in organizing workflow and coordinating activities 
  • Skill in developing presentations, presentation materials, and reports   
  • Ability to use audiovisual equipment and to train others in its use
  • Ability to establish and maintain effective working relationships with subordinates, peers, management, and the general public 
  • Ability to coordinate a variety of resources in gathering information and independently answering inquiries
  • Ability to exercise independent judgement and discretion
  • Ability to plan and supervise the work of others, if applicable
  • Ability to analyze and interpret policy and procedural guidelines 
  • Ability to resolve problems and questions independently

Salary Range

$20.73 -$26.43/Hourly

Exact compensation will be determined based on the candidate's education, experience, external market data and consideration of internal equity.
