Job description

Purpose:

Provides high-level administrative and strategic support, enabling the CEO to focus on organizational leadership and key initiatives. Ensures seamless executive operations by managing communications, schedules, confidential matters, and Board governance activities with professionalism and discretion. Serves as the primary liaison to the Board of Directors, coordinating Board meetings, planning sessions, agendas, materials, minutes, and governance documentation while fostering effective communication between the CEO, Board members, and executive leadership. Anticipates needs and streamlines workflows, enhancing the CEO’s effectiveness and the overall success of the credit union. Manages the organization's Executive Administration team and establishes the team as strategic partners who enhance the effectiveness of leadership through exceptional executive and governance support.

Remote role open to candidates residing in Washington (WA) or Oregon (OR). (Branches)

Pay Range:

The target hourly pay range for this position is $147,048 to $167,100. The full hourly pay range is $133,680 to 200,520.

  • Compensation decisions are determined using factors such as relevant job-related skills, experience, and education or training. Should an offer of employment be made, we will consider individual qualifications. In addition to your salary, compensation incentives are available for the hired applicant. Incentives are performance based and targets vary by role.

Responsibilities:

  • Leads the Executive Administration and Board Governance function, establishing strategy, service standards, and operating practices that enhance organizational effectiveness and executive productivity.
  • Serves as the primary liaison to the Board of Directors, ensuring effective governance processes, regulatory compliance, Board communications, and seamless coordination between the Board, CEO, and executive leadership team.
  • Directs Board and committee operations, including governance calendars, annual planning cycles, meeting effectiveness, governance documentation, Board education, and strategic planning support.
  • Partners with the CEO and executive leadership team to advance organizational priorities, coordinate enterprise initiatives, and ensure alignment across key strategic activities.
  • Oversees executive operations and governance processes, identifying opportunities to improve efficiency, communication, decision-making, and organizational execution.
  • Leads, develops, and mentors the Executive Administration team, establishing a high performing culture focused on exceptional service, continuous improvement, and strategic partnership.
  • Establishes priorities, allocates resources, and manages workload across the Executive Administration function to ensure effective support of executive leaders and enterprise governance activities.
  • Develops and maintains strong relationships with Board members, executive leaders, regulators, community partners, and other key stakeholders to support organizational objectives.
  • Oversees the management of sensitive organizational, governance, and executive matters, ensuring the highest standards of professionalism, confidentiality, and stewardship.
  • Leads special projects and strategic initiatives on behalf of the CEO and Board, providing research, analysis, recommendations, and implementation support to drive organizational success.

Previous Experience:

A minimum of seven (7) years’ experience providing executive-level support to C-suite leaders, preferably within the financial services or credit union industry. Proven track record in managing complex calendars, confidential communications, and high-level meetings for senior executives. Demonstrated ability to anticipate needs, prioritize tasks, and maintain professionalism in a fast paced, dynamic environment. A minimum of three (3) years’ experience in a leadership role, with responsibility for providing direction and guidance to a team of individual contributors.

Knowledge, Skills, and Abilities:

  • Exceptional organizational skills to manage complex calendars, prioritize tasks, and maintain smooth executive operations.
  • Advanced time management and multitasking abilities to handle competing priorities and urgent requests efficiently.
  • Strong communication skills, both written and verbal, to serve as the CEO’s liaison and convey information clearly and professionally.
  • High level of discretion and confidentiality in handling sensitive information and executive communications.
  • Proactive problem-solving and critical thinking to anticipate the CEO’s needs and resolve issues independently.
  • Expertise in managing executive travel logistics, meeting coordination, and preparation of briefing materials.
  • Strategic mindset with the ability to support long-term planning and align daily activities with organizational goals.
  • Tech-savvy with proficiency in calendar management tools and communication platforms.
  • Emotional intelligence and interpersonal skills to build and maintain relationships with board members, senior leaders, and external stakeholders.
  • Flexibility and adaptability to thrive in a fast-paced, dynamic environment while maintaining professionalism and composure.

Working Conditions:

  • Physical - Sitting for extended periods of time when performing duties. Lifting and carrying up to 10 pounds. Occasional bending and/or reaching for supplies on ground level. Continuous use of hands in repetitive tasks such as simple grasping, twisting/turning of wrists. Finger dexterity to perform various clerical duties such as typing, writing and maintaining files. Continuous speaking and hearing for interaction with staff and vendors. Continuous clarity of vision at 20 inches or less for normal processing of work.
  • Mental - Continuous alertness, precision, and concentration to provide accuracy of work. Frequent performance of basic numeric calculations, as well as writing, reading, comparing and analyzing. Frequent use of judgment, reasoning and patience in executing multiple projects concurrently. Continuous problem solving. Continuous initiative in performing duties with little or no direct supervision.
  • Environmental - Duties are performed in a remote environment, in approved remote state, using telecommunications technology at home without affecting service quality or organizational operations. Uses job specific software (including Microsoft Office products) and security equipment as needed to perform role. May have to work long hours and/or irregular hours such as evenings and weekends.
  • Travel to attend meetings and training sessions is required and may occur before or after regularly scheduled hours.

Total Rewards: 

This position is eligible for Full-Time Regular benefits. Employees and their eligible family members have access to a wide array of employee benefits, such as medical, dental, vision and life insurance coverage.

  • Includes an option for Medical, Dental, and Vision insurance to be paid at a 100% by company for the employee only coverage. 
  • We also offer Health Care FSA (HCFSA), Health Savings Account (HSA) with employer contributions, and Dependent Care FSA (DCFSA).
  • Employees also have access to Life and AD&D insurance.
  • Employees are able to enroll in our 401k plan.
  • Full-Time Regular employees accrue 8 hours of vacation and 8 hours of sick leave, on a monthly basis. 
  • Full-Time Regular hired employees also receive 11 paid holidays throughout the calendar year, 1 floating holiday, 16 hours of self-care time, and 16 hours of volunteer time.

All benefits except 401k start the first of the month following date of hire. Employees become eligible to contribute to 401k on the first of the month following 60 days of employment.
