Job description

Position Summary

We are seeking a detail-oriented and knowledgeable Spanish Payroll Specialist based in Poland to join our Payroll Shared Services Team, to manage end-to-end payroll processing for employees covered under Spanish payroll legislation. The ideal candidate will be fluent in Spanish and English, possess strong payroll administration experience, and demonstrate a solid understanding of Spanish statutory, tax, social security, and labour-related payroll requirements.

This role requires a high level of accuracy, confidentiality, and accountability, as well as the ability to work effectively with internal stakeholders, employees, HR, Finance, and external payroll providers where applicable.

Key Responsibilities

  • Manage the end-to-end payroll process for Spain-based employees accurately and on time.
  • Ensure payroll activities are compliant with Spanish legislation, tax regulations, social security requirements, and internal policies.
  • Process payroll inputs including:
    • new hires and terminations
    • salary changes
    • bonuses and incentives
    • absences and leave
    • overtime and other variable payments
  • Validate payroll data and review payroll outputs to ensure accuracy and completeness.
  • Coordinate with HR, Finance, and relevant third parties to collect and verify payroll-related information.
  • Support statutory reporting and payroll-related filings in line with Spanish legal requirements.
  • Handle payroll queries from employees and stakeholders in Spanish and English in a professional and timely manner.
  • Maintain payroll records, reports, and documentation with a high degree of confidentiality and accuracy.
  • Monitor legislative changes in Spain and support implementation of payroll process updates as needed.
  • Assist with payroll reconciliations, audits, month-end activities, and internal controls.
  • Identify opportunities for process improvement and support standardisation and continuous improvement initiatives.

Required Qualifications

  • Proven experience in processing Spanish payroll end to end.
  • Good working knowledge of Spanish payroll legislation, including statutory and compliance requirements.
  • Fluency in Spanish and English, both written and spoken.
  • Ability to work from Poland while supporting Spanish payroll operations.
  • Strong attention to detail and high level of accuracy.
  • Good analytical, organisational, and problem-solving skills.
  • Ability to manage sensitive and confidential information appropriately.
  • Proficiency in payroll systems and Microsoft Office tools, especially Excel.
  • Ability to work independently and manage deadlines in a fast-paced environment.

Preferred Qualifications

  • Experience working in a multinational or shared services environment.
  • Familiarity with HRIS and payroll platforms used for international payroll processing.
  • Experience working with external payroll vendors or outsourced payroll models.
  • Understanding of payroll accounting, reconciliations, and reporting.
  • Degree or certification in Payroll, Finance, Accounting, Human Resources, or a related field.

The scope of this role may expand to include support for Portugal payroll activities, subject to business needs, available capacity, and the candidate’s relevant expertise.

Salary Range: zł134 000,00 - zł215 600,00
