Job description

We are seeking a Quality & Compliance Officer with apprentice experience to provide administrative support to our Quality & Compliance function. The Quality & Compliance Officer plays a key role in ensuring the accurate processing of certification activity, maintenance of quality records, effective document control, and efficient management of quality-related enquiries.

With a keen eye for detail and a highly organised approach, the role supports compliance with regulatory requirements, internal policies, and service standards through accurate record keeping, administration, and coordination activities. The Quality & Compliance Officer works closely with colleagues across the business to ensure quality and compliance processes are supported effectively and consistently.

Duties

Certification & Administration

  • Review Statements of Results (SoRs) for completeness and accuracy
  • Process certification claims in line with company procedures
  • Maintain certification records, trackers and databases
  • Monitor certification turnaround times and escalate issues as required
  • Support certification audits through the provision of accurate records and evidence

Mailbox Management

  • Manage the Quality & Compliance mailbox
  • Monitor and triage incoming enquiries
  • Respond to routine quality and compliance queries
  • Track actions arising from enquiries and ensure timely follow-up

Records & Document Control

  • Manage version control of policies, procedures and quality documentation
  • Ensure controlled documents are current, accessible and appropriately archived
  • Maintain quality and audit records and supporting documentation

Compliance Administration

  • Support the preparation of compliance and regulatory reports
  • Assist with evidence gathering for internal and external audits
  • Maintain accurate compliance records and action logs

Data & Reporting

  • Maintain quality trackers, monitoring logs and action plans
  • Support quality reporting and dashboard production
  • Assist with data collection, validation and reporting activities
  • Ensure records and management information remain accurate and up to date

General Responsibilities

  • Support the wider Quality & Compliance team with administrative activities
  • Liaise professionally with internal and external stakeholders
  • Maintain confidentiality and handle sensitive information appropriately
  • Support continuous improvement by identifying opportunities to improve administrative processes
  • Other duties as required

 

Person Specification

Essential

  • Experience working within an awarding organisation (AO), EPAO or training provider
  • Previous experience in an administrative, coordinator or support role
  • Excellent attention to detail and high levels of accuracy
  • Strong organisational and time management skills
  • Experience maintaining records, trackers or databases
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office applications, particularly Outlook, Word and Excel
  • Ability to prioritise workload and manage multiple tasks effectively
  • Ability to follow processes and maintain accurate records and audit trails
  • Professional, reliable and customer-focused approach
  • Ability to work independently and as part of a team
  • GCSE Grade C/4 or above in English and Mathematics (or equivalent) or a relevant Level 3 qualification/apprenticeship

 

Desirable

  • Experience of certification administration
  • Experience maintaining quality, compliance or regulatory records
  • Experience of document control and version management
  • Knowledge of Ofqual-regulated qualifications or apprenticeship environments
  • Experience of working with quality performance data
  • Data and technology skills (Office 365, Excel, Power BI or automation tools)

  • Certificates are claimed and issued within agreed service standards
  • The Quality & Compliance mailbox is managed efficiently and professionally
  • Quality and compliance registers are accurate, complete and maintained consistently.

  • Audit and compliance records are organised, accurate and readily available
  • KPI reports, trackers and action logs are maintained accurately and on time
  • Internal and external stakeholders receive a responsive and professional service
  • The Quality & Compliance team is supported by reliable administration, accurate records and effective coordination
  • Compliance records and evidence are maintained to support regulatory requirements and business needs
