Position Overview

The Operations & Special Projects Associate is a hands-on role for a highly organized, proactive professional who enjoys turning plans into action. This position supports day-to-day business operations while coordinating strategic projects, improving processes, and ensuring initiatives move forward efficiently. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with confidence, and enjoys collaborating across teams to solve problems and deliver results.


Key Responsibilities

Coordinate and manage multiple projects from planning through execution.
Track project timelines, milestones, deliverables, and stakeholder accountability.
Support operational initiatives across multiple business functions.
Coordinate vendors, contractors, and external partners on active projects.
Develop and maintain operational trackers, reports, and project documentation.
Assist with creating, documenting, and improving standard operating procedures (SOPs).
Identify opportunities to improve workflows through technology and AI-enabled tools.
Provide executive support, including meeting preparation, scheduling, follow-up tracking, and administrative coordination.
Communicate project updates, risks, and next steps clearly to internal stakeholders.


Qualifications

Bachelor's degree preferred, or an equivalent combination of education and professional experience.
Two to seven years of experience in operations, project coordination, business administration, hospitality, construction, commercial real estate, or a related field.
Strong organizational, project management, and time-management skills.
Excellent written and verbal communication abilities.
Ability to manage multiple priorities and consistently meet deadlines.
Self-motivated problem solver with strong follow-through and sound judgment.
Experience creating processes, documentation, trackers, or operational systems.
Comfort with Microsoft Office, Google Workspace, and project management tools.
Interest in using AI and technology to improve business operations.


Preferred Qualifications

Experience supporting executives or senior leadership.
Exposure to commercial real estate, hospitality, construction, investment, or multi-site operations.
Experience with workflow automation, reporting tools, or project management software.
