Job description

JOB SUMMARY

We are seeking a detail-oriented and highly organized Graphics Organizational Assistant to ensure accuracy, consistency, and quality across technical design packs in a high-volume production environment.

This role is primarily focused on organizations, communication, compliance, and workflow efficiency rather than creative design.

This position serves as a critical bridge between our EST and PHT teams — keeping files organized, feedback flowing, and deliverables on schedule. The role ensures that all assets meet brand and league standards before submission and supports structured execution across teams and time zones.

KEY RESPONSIBILITIES

  • Review technical packs for accuracy, including colors, logos, layouts, and specifications
  • Identify and correct errors before submission to prevent downstream rework
  • Maintain organized file systems and enforce version control protocols
  • Fully learn, understand, and enforce all league and brand style guides, ensuring every asset meets compliance requirements prior to submission
  • Audit all graphics and technical files for compliance with league, brand, and production standards, making quick edits when possible or routing back to designers when needed
  • Set, track, and monitor KPIs for design teams to ensure productivity, accuracy, and deadline adherence
  • Manage and streamline communication between EST and PHT teams, ensuring alignment across time zones and working hours
  • Organize and maintain all files, KEEPAs, project trackers, and communication channels to ensure full visibility and alignment across teams
  • Coordinate feedback and communication between EST and PHT team members
  • Consistently meet deadlines while maintaining high-quality output standards
  • Support ongoing process improvements and workflow efficiency initiatives

QUALIFICATIONS

Preferred

  • Deep, working knowledge of tech pack rules inside and out — including color standards, logo placement rules, layout specifications, and common production mistakes
  • High attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to multitask and meet deadlines under pressure
  • Availability to work overlapping EST and PHT hours
  • Strong understanding of organization systems, workflow management, and cross-team communication structures
  • Ability to interpret and enforce style guides, compliance rules, and production standards across multiple sports leagues

Required

  • Experience in graphic design, apparel, or consumer products
  • Proficiency in Adobe Illustrator, Photoshop, or similar tools
  • Prior experience in a remote work environment
  • Ability to manage multiple projects simultaneously

WORK ENVIRONMENT & SCOPE

  • Fully remote and independent role with leadership oversight
  • Fast-paced environment with multiple concurrent projects at all times
  • Core focus on organizational structure, compliance enforcement, communication flow, and operational efficiency rather than creative execution
  • Acts as the central coordination point between EST and PHT teams, ensuring smooth handoffs and real-time alignment across time zones
  • Responsible for maintaining clean, structured, and fully updated systems for files, project tracking, and communication pipelines
  • Supports product development for officially licensed sports merchandise
  • Requires accountability, ownership, and consistency in all deliverables
