Job Summary

The Grants Coordinator manages and coordinates the full lifecycle of federal, state, and local grants, from funding opportunity identification and application development through award administration, monitoring, reporting, and closeout. The position works closely with program, finance, compliance, quality, data, procurement, and external partners to ensure grants are implemented effectively, funded activities are supported, and all requirements are met.


A key responsibility of this position is the administration and monitoring of MDHHS grants through the eGrAMS grant management system.

Essential Duties & Responsibilities

Grant Development and Administration

  • Monitor and identify federal, state, and other grant opportunities aligned with organizational priorities.
  • Review NOFOs, RFPs, and grant requirements and summarize key deadlines, eligibility criteria, deliverables, and funding requirements.
  • Coordinate grant applications, including narratives, work plans, budgets, budget justifications, and required attachments.
  • Coordinate Letters of Commitment, MOUs, and other partnership documentation.
  • Establish grant files, timelines, reporting calendars, and internal responsibilities.
  • Monitor grant requirements, deliverables, deadlines, and award conditions throughout the grant period.

eGrAMS Grant Management

  • Manage assigned MDHHS grants within eGrAMS.
  • Complete and coordinate eGrAMS applications, awards, amendments, budget modifications, reports, documentation, and closeout activities.
  • Monitor eGrAMS notifications, deadlines, approvals, and requests for action.
  • Maintain accurate grant records and required documentation within eGrAMS.
  • Coordinate with authorized users and MDHHS to resolve grant or system issues.

Budget and Compliance Monitoring

  • Coordinate with Finance to monitor grant budgets, expenditures, balances, and spending rates.
  • Identify budget variances, under-spending, over-spending, and potential unallowable costs.
  • Monitor compliance with grant agreements, federal and state requirements, and applicable regulations.
  • Support grant monitoring, audits, corrective action plans, and resolution of findings.

Reporting and Performance Management

  • Coordinate required financial, programmatic, and performance reports.
  • Collect and validate information from program, finance, quality, and data staff.
  • Track grant goals, objectives, deliverables, performance measures, and outcomes.
  • Maintain grant tracking tools, dashboards, and calendars.
  • Provide leadership with updates regarding grant status, expenditures, deadlines, risks, and compliance.

Grant Closeout

  • Coordinate final reporting, expenditure reconciliation, documentation, and closeout requirements.
  • Ensure all required eGrAMS and funding-agency closeout activities are completed.

Required Education & Experience:

  • Bachelor's degree in public administration, business, finance, healthcare administration, public health, behavioral health, or a related field.
  • Minimum of 3 years of grant administration or related experience.
  • Hands-on experience using MDHHS eGrAMS is required.
  • Experience with grant budgets, reporting, compliance, and documentation.
  • Strong organizational, analytical, writing, and communication skills.
  • Ability to manage multiple grants, deadlines, and stakeholders simultaneously.
  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint.

Preferred Experience:

  • Experience independently managing multiple MDHHS grants through eGrAMS.
  • Experience with SAMHSA, HRSA, CMS, HUD, Medicaid, behavioral health, substance use disorder, public health, or human services grants.
  • Knowledge of federal grant requirements, including 2 CFR Part 200 (Uniform Guidance).
  • Experience with grant monitoring, audits, corrective action, and closeout.

Required License(s)

  • A valid State of Michigan Driver’s License with a safe and acceptable driving record is preferred, as occasional travel to meet with program staff or funders may be required

WORKING CONDITIONS:

Work is usually performed in an office setting but may require the employee to drive to different sites throughout Wayne County and the State of Michigan to meet with partners or oversee program activities. This position can work remotely with supervisory approval. The incumbent in this position may be required to attend in-person events on a regular basis.
