About the Role

Column | Remote (U.S.-based) | Full-Time | $+ Equity

We are looking for a detail oriented Auto Placement Representative to join our team full time. This role will support the day to day placement of public notices with publications nationwide, ensuring orders are submitted accurately, on time, and according to publication specific requirements.

The ideal candidate is highly organized, comfortable communicating with external partners, and able to manage a high volume of orders and deadlines simultaneously.

This is an operations focused role that requires strong attention to detail, clear communication, good judgment, and the ability to take ownership of assigned placements from submission through confirmation.

Key Responsibilities

Notice Placement

  • Manage assigned public notice orders from submission through publication confirmation.
  • Review order details and supporting materials to ensure the information needed for placement is complete and accurate.
  • Manage multiple active placements and prioritize work based on deadlines and urgency.
  • Track placement progress and ensure orders continue moving through the appropriate stages of the workflow.

Publisher Communication

  • Communicate directly with publishers nationwide by email and phone regarding notice placements.
  • Gather and confirm publisher rates, deadlines, requirements, and other information necessary to complete placements.
  • Build positive working relationships with publishers and maintain professional communication throughout the placement process.
  • Follow up on outstanding requests or information when needed to keep orders moving.
  • Work with publishers to address questions or issues that arise during the placement process.

Order & Placement Operations

  • Maintain accurate publisher rates, requirements, deadlines, and placement information within Column’s systems.
  • Identify missing or conflicting information and work with the appropriate publisher, customer, or internal team to determine next steps.
  • Troubleshoot placement issues and escalate time sensitive or complex situations when additional support is needed.
  • Follow documented workflows, processes, and placement requirements consistently.
  • Communicate clearly with team members regarding workload, blockers, and time sensitive orders.
  • Adapt to changing priorities and support the team based on daily placement volume and business needs.
  • Identify recurring issues and opportunities to make placement workflows more efficient and reliable.

Must-Have Experience

  • 1+ years of experience in operations, order management, customer service, account coordination, administrative support, or a similar deadline driven role.
  • Experience managing multiple requests, orders, or tasks with competing deadlines.
  • Experience communicating professionally with external partners, vendors, or customers by email and phone.
  • Experience working in systems where accurate data entry, documentation, and status tracking are essential.
  • Experience working independently in a fast paced environment with clear productivity and quality expectations.

Nice-to-Have Experience

  • Experience in newspaper publishing, legal advertising, public notices, media placement, or print production.
  • Experience working with publishers, media organizations, or other external vendors.
  • Familiarity with legal notices, publication deadlines, affidavits, or proof of publication processes.

Key Performance Indicators (KPIs)

  • Percentage of notices submitted within one business day.
  • Placement accuracy and rework rate.
  • Percentage of placements completed by required publisher and customer deadlines.
  • Timely follow up on outstanding publisher responses and placement requirements.
  • Accuracy of publisher rates, deadlines, and requirements maintained within Column’s systems.
  • Ability to manage assigned placement volume while maintaining quality standards.
  • Effective identification and escalation of time sensitive or at risk placements

30-60-90 Day Plan

Days 1-30: Learn & Stabilize

  • Complete training on Column’s products, placement workflows, systems, and public notice requirements.
  • Learn how to review incoming orders and identify the information required for successful placement.
  • Become familiar with publisher communication standards, deadlines, rates, and common placement requirements.
  • Shadow experienced team members and begin managing placements with support.
  • Demonstrate consistent documentation, follow up, and escalation practices.

Days 31-60: Implement & Build

  • Independently manage assigned placements from submission through confirmation.
  • Consistently prioritize work based on publication deadlines, urgency, and customer requirements.
  • Communicate directly with publishers and resolve placement questions independently.
  • Maintain accurate publisher and placement information within Column’s systems.
  • Meet established expectations for placement turnaround time and accuracy.
  • Recognize common placement issues and know when escalation is necessary.

Days 61-90: Optimize & Scale

  • Independently manage workload while meeting quality and turnaround expectations.
  • Proactively identify ads at risk of missing deadlines and take appropriate action.
  • Resolve routine publisher and placement issues with minimal oversight.
  • Identify recurring workflow issues and recommend improvements.
  • Demonstrate strong ownership of assigned placements from initial review through successful confirmation.
  • Contribute to team goals around placement speed, accuracy, and operational efficiency.

What Success Looks Like at 90 Days

At 90 days, you can independently manage public notice placements while consistently meeting turnaround and accuracy expectations. You understand how to navigate publisher requirements, communicate effectively with external partners, identify and resolve common placement issues, and escalate risks before they impact publication deadlines.

You are a reliable owner of your work, maintain accurate information within Column’s systems, and contribute to a placement operation that is fast, accurate, and scalable.
