12-Month Contract, full-time opportunity
Location & Hours of Operation: This role operates out of our Freddie in-person clinic located within Affirming Care Pharmacy at #100, 1900 11 St SE in Calgary, Alberta. The expected schedule for this role is:
- Tuesdays: 12:00pm–8:00pm
- Wednesdays: 12:00pm–8:00pm
- Thursdays–Saturdays: 8:30am–4:30pm
This schedule provides two consecutive days off each week on Sundays and Mondays. While this is the expected schedule for the role, we’re looking for someone who can remain flexible as our clinic evolves and our hours or days of operation may change in the future.
Affirming Care Pharmacy is located on the unceded and traditional territories of the peoples of the Treaty 7 region which includes the nations of the Siksika, the Piikani, the Kainai, the Îethka Stoney Nakoda which consists of the Chiniki, Bearspaw, and Good Stoney Bands, and the people of the Tsuut'ina First Nation. The city of Calgary is also homeland to the historic Northwest Métis and to the Otipemisiwak Métis government, Métis Nation Battle River Territory, Nose Hill Métis District 5 and Elbow Métis District 6.
Who we hope to find:
Come and join the #1 rated PrEP provider in North America, Freddie! We're looking for an organized, personable, and detail-oriented Medical Office Assistant to anchor the front desk at our in-person clinic in Calgary.
This role will support the day-to-day operations of our in-person clinic, based out of Affirming Care Pharmacy. The clinic supports Freddie patients by making it easier to access HIV prevention, PrEP (Pre-exposure Prophylaxis), and sexual health services, including STBBI (sexually transmitted and blood-borne infection) testing. We’re focused on making care more accessible, convenient, and welcoming for the communities we serve
At Freddie, our patients are our #1 priority. We're passionate about delivering an exceptional, 11/10 star experience. As a Medical Office Assistant, you’ll be one of the first and last points of contact for patients attending. You will welcome and support patients, help facilitate drop-in hours for PrEP refills and associated STBBI lab specimen collection, and keep the front desk and clinic experience running smoothly. This role requires strong organizational skills, discretion, and a commitment to providing a respectful, stigma-free experience for all patients, including those in the LGBTQ2S+ community.
In this role, you’ll make an impact by:
Patient Experience & Clinic Flow
- Welcoming patients and supporting them through check-in, while providing clear information about wait times, next steps and what to expect throughout their visit
- Coordinating patient flow, responding to questions within your role and connecting patients with the appropriate clinical team member when additional support is needed
- Creating a welcoming, discreet, and respectful clinic experience while protecting patient confidentiality and handling personal health information securely
Clinic Operations
- Accurately collecting, labelling, packaging, and preparing specimens and requisitions to ensure results are matched to the correct patient and collection site
- Performing venipuncture as required in accordance with established clinic protocols, training and clinical oversight, while providing clear and respectful instructions for self-collection of urine, throat, and rectal specimens
- Maintaining clinic, phlebotomy and specimen collection supplies and equipment, including inventory, sharps disposal, infection prevention requirements and readiness
- Assembling and packaging swab and at-home testing kits, maintaining related inventory and coordinating courier pickups and shipments
Care Delivery Support
- Supporting clinical documentation, follow-up tasks, work queues, patient coordination and other administrative activities that help patients move efficiently through care
- Supporting established clinical and operational processes across Freddie's care delivery programs, including virtual workflows when neede
We need someone who has:
- 2+ years experience as a Medical Office Assistant, front desk coordinator, or similar administrative role in a clinical setting
- Successful completion of a recognized Medical Office Assistant (MOA) program, or equivalent (e.g., Unit Clerk, Medical Administrative Assistant, Medical Office Administration)
- Excellent attention to detail
- Strong organizational skills and the ability to manage a busy, drop-in style front desk
- Proficiency in adhering to established policies and procedures
- Technical aptitude and the ability to learn new software and systems quickly, including experience working with an EMR
- A flexible mindset and a positive approach to change as our in-person program is actively growing and scheduling needs will evolve
- Availability for daytime and evening shifts, including weekends
- A calm, non-judgmental, and discreet communication style
- Excellent communication skills and empathetic care delivery
It would also be great if you have:
- Completion of a recognized phlebotomy certificate program (e.g., CPTG Certified Phlebotomy Technician or equivalent) or a willingness and ability to learn phlebotomy through training
- Experience working with members of LGBTQ2S+, gender and sexually diverse communities
- Experience working in the private sector, a start-up, or a technology company
- Experience working from a trauma-informed lens
- Familiarity with lab requisition and specimen-handling processes
Compensation:
- $50,000 - $55,000 CAD a year ($24.09 - $26.44 an hour)
