Job description

THIS JOB APPLICATION NOT FOR AN IMMEDIATE OPENING BUT FOR FUTURE CONSIDERATION.

Are you an experienced professional with a deep understanding of financial aid software systems — such as Ellucian Banner, Colleague, Oracle PeopleSoft, PowerFAIDS, or similar — and a passion for optimizing financial aid operations in higher education?

College Aid Services is seeking talented consultants to join our dynamic team and make a lasting impact on institutions across the country.

Position Overview:

As a College Aid Services Technology Consultant, you’ll advise colleges and universities on the effective implementation, configuration, and optimization of financial aid management systems. You’ll help ensure compliance with federal and state regulations, streamline operations, and enhance the student financial aid experience through technology-driven solutions.

Assignments may be short- or long-term and could involve occasional travel. Work hours vary based on each client’s location and support needs. As a consultant, you’ll enjoy the flexibility to select client engagements that best align with your schedule and availability.

Responsibilities May Include:

System Implementation & Configuration

  • Lead or assist with implementing and/or configuring financial aid management systems (e.g., Ellucian Banner, Oracle PeopleSoft, etc.).
  • Configure system parameters to align with institutional policies and Title IV regulations.
  • Manage data conversions, integrations, and testing between the financial aid system and related platforms (e.g., SLATE, Account Receivables).

Consulting & Process Improvement

  • Conduct needs assessments to identify process gaps and opportunities for automation.
  • Advise on best practices for packaging, disbursement, verification, and reconciliation workflows.
  • Develop documentation, process maps, and configuration guides to support consistency and efficiency.

Training & Support

  • Train institutional staff on system use, reporting, and regulatory compliance.
  • Create user guides, training materials, and reference documentation.
  • Provide ongoing functional and technical support, troubleshooting, and optimization.

Regulatory & Compliance Alignment

  • Ensure institutional financial aid operations meet Department of Education and state agency regulations.
  • Interpret new regulatory requirements and advise clients on necessary system adjustments.
  • Assist institutions with audit preparation, reconciliations, and compliance reviews.

Reporting & Analytics

  • Develop custom reports and dashboards for financial aid tracking, compliance, and performance analysis.
  • Support clients in leveraging data for strategic decision-making.

Job Requirements:

  • 6+ years of professional experience in higher education, including system configuration and processing.
  • Proficiency in one or more Financial Aid software platforms (e.g. Anthology, Ellucian Banner, Ellucian Colleague, Jenzabar, Oracle PeopleSoft, PowerFAIDS, Regent, SONIS, Populi, Workday, etc.)
  • Strong understanding of how Enrollment and Student Accounts/Student Financials integrate with Financial Aid
  • Solid grasp of Title IV regulations, reporting requirements, and compliance standards.
  • Proficiency with SQL, Argos/COGNOS, or similar reporting tools preferred.
  • Exceptional attention to detail and the ability to align teams toward common goals.
  • Strategic thinking and leadership capabilities.
  • Outstanding written and oral communication skills.
  • Aptitude for motivating, developing, and training staff.
  • Flexible availability for contract assignments, including potential travel.
  • Prior consulting experience preferred.
