Job Title: Executive Assistant (Operations)

Location: Remote

Employment Type: Full-Time Contractor

Working Hours: 8 hours per day, 9:00 AM – 5:00 PM EST (Monday–Friday)

Role Overview

Mint Source is recruiting an Executive Assistant (Operations) to join a US-based, nine-figure direct-to-consumer brand selling all-natural wellness supplements. This is not a calendar-and-inbox assistant role. You'll work directly with the Founder and Head of Growth to keep the marketing team's day-to-day execution on track: following up on deliverables, removing blockers, building systems, and making sure nothing falls through the cracks. Success looks like a founder who no longer chases anyone for updates, because you already did. For the right person, this seat grows into Operations Manager and eventually Chief of Staff.


What You'll Do

  • Coordinate daily execution across the marketing team (ad script writers, editors, designers), keeping projects moving and deadlines met
  • Follow up with team members until work is completed, and hold people accountable to what they committed
  • Identify blockers before they become problems, resolving what you can and escalating what you can't
  • Build SOPs, improve workflows, and keep documentation organized
  • Spot inefficiencies and recommend process improvements
  • Prepare weekly team reports, project status updates, and accountability reports for the Founder
  • Maintain project dashboards and keep task tracking clean in tools like ClickUp
  • Make sure every meeting ends with clear action items and owners, then track them to completion
  • Support hiring workflows, including reviewing candidate submissions and coordinating next steps
  • Gradually take ownership of the creative team's day-to-day operations as you prove yourself


What We're Looking For

  • A track record inside real companies in fast-paced, high-pressure environments. This is explicitly not a virtual assistant role, and a background of freelance task-work won't be the right fit
  • Excellent written and spoken English, clear and professional on daily calls with a US-based team
  • Naturally organized and detail-obsessed. You notice the missing attachment, the wrong link, the overdue task
  • An ownership mindset. You don't wait to be told, and you're confident enough to hold your ground when the team pushes back
  • Reliable to the core. If you say you'll do something, it gets done, every time
  • Calm under pressure, and you take direct feedback without folding
  • A fast learner who thinks in first principles. Teach you once and you run with it
  • Bonus points: prior Executive Assistant, operations, or project management experience; hands-on use of ClickUp, Notion, Airtable, or Google Workspace; strong AI tool usage; marketing or DTC e-commerce knowledge


Key Performance Metrics (KPIs)

  • Projects and deliverables completed on deadline without the Founder needing to chase updates
  • Weekly reports and dashboards delivered on schedule, accurate and current
  • Every meeting closed with documented action items, owners, and follow-through
  • Measurable reduction in Founder time spent on team coordination
  • 30/60/90 ramp: first 30 days learning the team, tools, and workflows with close Founder oversight; by 60 days independently running follow-ups, reporting, and accountability loops; by 90 days projects move without reminders and nothing slips through the cracks
