Job Overview

The Executive Administrative Assistant provides high-level administrative and operational support to senior executives, ensuring the efficient coordination of schedules, communications, and internal workflows. This role requires exceptional organizational ability, strong attention to detail, and the capability to manage confidential information with discretion.

The ideal candidate is proactive, highly resourceful, and comfortable managing multiple priorities in a fast-paced environment while supporting executive productivity and team collaboration.

Key Responsibilities

Executive Support

Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

Coordinate internal and external meetings, ensuring all logistics and materials are prepared in advance.

Prepare, edit, and format correspondence, reports, presentations, and other business documents.

Maintain confidentiality when handling sensitive information and communications.

Support executives in managing priorities, deadlines, and follow-ups.

Administrative Operations

Manage communications by screening and prioritizing emails, phone calls, and other inquiries.

Organize and maintain digital and physical records to ensure information remains accurate and easily accessible.

Assist in planning and coordinating special projects, company initiatives, and internal events.

Monitor tasks, deadlines, and deliverables using project management systems.

Project & Workflow Management

Utilize ClickUp to organize executive tasks, track progress, and ensure project deadlines are met.

Create, update, and manage task lists, workflows, and documentation within ClickUp.

Coordinate with team members to maintain clear visibility of priorities and project timelines.

Follow up on action items and ensure accountability across teams.

Meeting & Event Coordination

Schedule and organize meetings, including preparing agendas, documenting minutes, and tracking action items.

Coordinate meeting logistics such as conference rooms, virtual meeting links, catering, and equipment.

Ensure post-meeting follow-ups and task assignments are properly documented.

Stakeholder Communication

Serve as a liaison between executives and internal or external stakeholders.

Maintain professional relationships and ensure clear, timely communication.

Escalate urgent matters and ensure priority issues are addressed promptly.

Qualifications

Bachelors degree in Business Administration, Management, or a related field preferred.

Proven experience as an Executive Administrative Assistant or in a similar executive support role.

Strong proficiency in ClickUp or comparable project management tools.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent written and verbal communication skills.

Strong organizational, multitasking, and time-management abilities.

High level of discretion when handling confidential information.

Strong problem-solving ability and attention to detail.

Ability to work independently while collaborating effectively with cross-functional teams.

Preferred Skills

Experience managing workflows in ClickUp, Asana, Monday.com, or similar platforms.

Familiarity with office management systems and administrative procedures.

Experience coordinating travel arrangements and managing expense reports.

Ability to support project tracking, documentation, and team collaboration tools.
