Job Description

Job Summary

The Medical Equipment Planner leads the budgeting, procurement, warehousing, delivery, and installation of medical and non-medical (FF&E) equipment for Intuitive Health's Freestanding Emergency Department (FSED) projects, developed in joint venture with Health System Partners (HSPs). Serving as the designated point of contact required under Intuitive Health's Procurement Leadership Model, this role manages the equipment lifecycle — Planning, Design, Construction Documents, Procurement, and Delivery & Installation — from project kickoff through Go-Live, in accordance with Intuitive Health's Equipment Process Playbook and 3rd party medical equipment planner.

The Planner partners with the Hospital System Project Champion, architects, project teams, vendors, and Intuitive Health's third-party equipment partner to develop equipment budgets, specifications, and procurement plans; ensures adherence to the standard FF&E/Medical Equipment budget and dual-partner approval process; and coordinates sequencing, warehousing, and installation so each facility is equipment-ready for patient care on Day One.

Essential Duties and Responsibilities

  • Serve as the project's designated Medical Equipment Planner point of contact, tracking and communicating equipment buyout status to Intuitive Health and the Health System Partner across all project phases.
  • Manage the equipment planning lifecycle (Planning → Schematic/Design Development → Construction Documents → Procurement → Delivery & Installation), maintaining the equipment book, cost tracker, quote/PO tracker, and installation schedule.
  • Own the standard FF&E and Medical Equipment budget, escalating overages or scope additions for dual-partner and JV board approval; support capital planning through cost and database analysis.
  • Execute the project's selected Procurement Leadership Model — requesting/approving vendor quotes, issuing or reviewing purchase orders, and coordinating the dual-agency Quotation Review and Authorization process.
  • Sequence and coordinate vendor ordering, quoting, and delivery (prioritizing long-lead Radiology and Lab equipment, then OFCI and remaining items), and manage warehousing, logistics, and pre-installation coordination with the equipment partner.
  • Coordinate Biomed asset tagging, vendor warranty terms, and site-readiness activities for specialty spaces (Lab, Radiology, Med Room) ahead of equipment delivery and installation.
  • Track major equipment categories (CT, X-Ray, Ultrasound, Nurse Call, Patient Monitoring, Lab analyzers), and review/approve related quotes and drawings prior to PO issuance and regulatory submission.
  • Maintain the shared communication cadence with the Health System Partner (status reporting, punch lists) and support installation completion and handoff to facility Operations at Go-Live.
  • Coordinate furniture, fixtures, artwork, signage, and IT hardware procurement within FF&E scope, and maintain working knowledge of applicable regulatory and code requirements (DOH, FGI, IBC, local AHJ).
  • Perform other duties as assigned.

Supervisory Responsibilities

Consultants, vendors, and the third-party Medical Equipment Partner (design, procurement, warehousing, and installation services).

Qualifications

Qualifications

Required:

  • Bachelor's degree in Engineering, Construction Management, Architecture, Biomedical Engineering, or related field, with significant experience planning medical equipment on large healthcare projects — or an equivalent combination of education and experience (e.g., associate degree plus 8+ years of related facilities/construction budget management, or a high school diploma plus 12+ years in medical equipment procurement).
  • Experience with CMMS or equipment/procurement tracking software; strong project management, budget, and vendor-coordination skills.
  • Ability to work independently across multiple concurrent project timelines and meet deadlines in a fast-paced, dual-partner environment.
  • Excellent verbal, written, and interpersonal communication skills for engaging Health System Partners, vendors, and internal teams.

Preferred:

  • 5–7+ years planning medical equipment on large healthcare or FSED projects, with knowledge of healthcare equipment uses and requirements, and construction management processes.
  • Experience with /multi-partner project delivery, dual-approval budgeting, and reimbursement processes; hospital or FSED experience.
  • Proficiency with MS Office Suite; knowledge of long-term capital planning, document management, negotiations, and project close-outs.

Work Environment & Travel

Remote role with some onsite presence at active healthcare construction sites nationwide at installation (estimated 10-20% travel) for user meetings, site-readiness walks, and delivery/installation coordination.
