Implementation Manager

Location: Remote

Commercial Real Estate ("CRE") is one of the world's largest asset classes, yet the documents that govern it — leases, amendments, and agreements running thousands of pages — remain locked in formats that are slow to read, easy to misinterpret and nearly impossible to act on at scale. The critical terms buried inside these documents define revenue, risk and capital, but even the most sophisticated owners, operators and investors struggle to turn them into intelligence they can trust.

About the Role: 

Providing an outstanding implementation experience for customers is essential to their long term success with Prophia. During this critical phase, Implementation Managers are responsible for onboarding customer data with the highest level of accuracy. This process includes thorough reviews of AI-extracted data points, using in-app features to communicate with customers, demonstrating product and lease language expertise and meeting SLAs.

Primary Responsibilities: 

  • Manage the process of extracting critical data from tenant documents for new and existing customers accurately and in a timely manner
  • Review, confirm, and reconcile customer data in the Prophia platform, meeting specified deadlines and performance metrics 
  • Leverage AI tools and internal automation to improve productivity, data quality, communication, documentation, and project execution
  • Continuously identify opportunities to incorporate AI into daily workflows to reduce manual effort, improve consistency, and increase implementation efficiency.
  • Demonstrate project management excellence including the ability to keep stakeholders on track (i.e., outsourced onboarding support), manage issues and risks through resolution, and ensure milestones are met
  • Become an expert in commercial lease language and use problem-solving skills to interpret landlord and tenant rights 
  • Follow and iterate on best practices during the implementation processes throughout the customer journey
  • Provide an exceptional onboarding experience to customers, ensuring users are able to maximize the value of Prophia for their organizations
  • Lead onboarding calls with customers to provide a high level product overview and reconcile any data discrepancies
  • Collaborate with internal stakeholders to manage objectives, scope and timeline for new and ongoing implementations of Prophia services
  • Communicate product feedback and product bugs to the Product, Engineering, and AI teams

Qualifications:

  • Strong organizational skills with the ability to set priorities, manage multiple projects and deliver results in a fast-paced environment
  • Demonstrated problem-solving skills, including the ability to break down complex or ambiguous issues into manageable solutions
  • Comfortable learning and leveraging new technologies to improve customer outcomes and operational efficiency
  • Ability to maintain a positive attitude and calm demeanor, especially in escalated situations
  • Bachelor’s degree or equivalent professional experience

Preferred Qualifications:

  • Experience in commercial real estate, lease administration, or lease abstraction
  • Or alternatively, experience in multifamily property management, residential real estate operations or another related real estate industry
  • Experience working in a startup or other high-growth, rapidly changing environment
  • Familiarity with AI productivity tools (e.g., ChatGPT, Microsoft Copilot, Claude, Gemini) and an interest in using AI to improve documentation, communication, project management, and operational efficiency

Compensation for this role is comprised of an annual salary ranging between $85,000-$100,000 as well as equity and benefits. Actual compensation is based on factors such as the candidate's skills, qualifications and experience.
