Client Associate-

Legal
Location: Remote 

Employment Type: Contract 20- 40hrs per week

Department: Operations 

Reports to: Department Leader

Job Summary

We are seeking a detail-oriented and personable Client Associate to join our team. This individual will be the front line of communication for our clients, ensuring their needs are met with excellence and efficiency. You will assist with onboarding, client communications, and daily operational support, acting as a key liaison between our internal teams and our clients.

Key Responsibilities

Administrative & Office Support

  • Answer and direct phone calls; manage client inquiries professionally

  • Schedule appointments, hearings, depositions, and meetings

  • Maintain attorney calendars and court deadlines

  • Organize and maintain physical and electronic case files

  • Perform data entry and update case management systems

  • Handle billing support, invoicing, and time tracking

Legal Document Preparation

  • Draft, format, proofread, and file legal documents (pleadings, motions, briefs, contracts, correspondence)

  • Prepare discovery documents and responses

  • Assist with document review and organization for cases

  • Ensure filings comply with court rules and formatting requirements

  • Coordinate e-filing with courts and government agencies

Client Communication

  • Communicate with clients regarding case status, document requests, and appointments

  • Collect intake information and relevant documentation from clients

  • Maintain confidentiality and comply with ethical standards

  • Follow up with clients for missing information or signatures

Case & Litigation Support

  • Assist attorneys with trial preparation and exhibits

  • Manage subpoenas, service of process, and correspondence

  • Track statutes of limitations and court deadlines

  • Coordinate with courts, opposing counsel, and third parties

  • Prepare case summaries and chronologies

Research & Compliance

  • Conduct basic legal research (case law, statutes, regulations)

  • Maintain compliance with firm procedures and court requirements

  • Support due diligence and compliance documentation

Technology & Systems

  • Use legal software (case management, document management, e-filing systems)

  • Manage email correspondence and secure document sharing

  • Maintain client databases and CRM systems




Requirements

Qualifications

·    Neutral English accent is required.

     ·         1+ years of relevant & customer service experience.

·         Can type at least 40 wpm.

·         Passionate about customer service.

·         Excellent communication and interpersonal skills; verbal and written.

·         Ability to manage multiple accounts and priorities simultaneously.

·         Strong organizational and time-management abilities.

·         Ability to sit for long periods and pass a background check.
