Job description

Temporary Contract for Parental Leave Coverage | September 2026 – January 2027 | Remote

We are open to a full-time or part-time schedule | $28-34/hour

THE SHORT VERSION

We're looking for an experienced Legal Operations Coordinator to join a three-person legal team at a public company and take ownership of recurring operational workstreams — contracts, e-signature administration, and compliance support — for about five months while our Legal Operations Lead is on maternity leave. Our GC and AGC will set priorities and be available for the genuinely novel calls, but the day-to-day execution is yours to run.

This is a strong fit if you've already built a real foundation in legal operations or paralegal work and are ready to own a workstream independently at a public company, working directly with a GC and AGC who'll trust you to execute without close supervision.

WHAT YOU'LL OWN

Contracts & Legal Technology 

  • Own Grove's day-to-day contract lifecycle process end-to-end: intake via Tropic, triage, routing for review, execution, and archiving in Juro — running the process independently and escalating only genuine exceptions. 
  • Administer Grove's e-signature tools (Adobe Acrobat Sign and Google Workspace eSignature), including troubleshooting user issues, as Grove transitions off DocuSign. 
  • Manage Legal's vendor relationships directly: run regular check-ins and track renewal timelines, bringing decisions to counsel only when they call for judgment beyond process.

Compliance & Corporate Governance 

  • Own SOX process documentation within Legal and cross-functionally — gathering and organizing audit evidence in coordination with Finance and Internal Audit without needing task-level direction. 
  • Maintain the corporate calendar (board meetings, regulatory filing deadlines), track state registrations, and manage filing of completed board minutes. 
  • Run point on the logistics of responses to data requests, subpoenas, or document productions, executing under counsel's direction on strategy.
  • Monitor adherence to Legal policies and procedures company-wide, flagging gaps proactively rather than waiting to be asked.

Records, Billing & Insurance 

  • Run Legal's filing systems with discipline — naming conventions, document retention, and legal hold processes — as the person accountable for consistency, not just someone following a checklist. 
  • Own legal billing review: track outside counsel invoices against billing guidelines and flag anomalies for review. 
  • Manage Grove's corporate insurance portfolio, including renewals, purchases, and claims.

  • Tropic — Contract intake & procurement workflow 
  • Juro — Contract repository & document management 
  • Adobe Acrobat Sign / Google Workspace eSignature — E-signature 
  • Confluence & Jira — Internal wiki, knowledge base, ticketing 
  • Google Workspace — The full suite — Docs, Drive, Sheets, Slides, Gmail, Calendar 
  • Slack — Primary communication channel, company-wide 
  • Claude (Anthropic) — AI assistant for legal workflows — Chat and Cowork

WHAT WE'RE LOOKING FOR

  •  3–5 years of experience in legal operations, paralegal work, or in-house legal support, with a track record of owning recurring workstreams independently. 
  • Genuine interest in public company legal operations; prior exposure to SOX or corporate governance processes is a strong plus. 
  • Hands-on experience with tools like CLMs, e-signature platforms, or procurement systems — you don't need our specific stack, but you should be well past the learning-the-basics stage. 
  • Bachelor's degree required. Paralegal certificate or coursework is a plus. 
  • Clear, professional communication skills, and comfort driving cross-functional conversations with Finance, Marketing, IT, and Engineering without needing someone else to broker them. 
  • Real comfort using AI tools as part of daily workflow, not just curiosity about them. 
  • A default of discretion and professionalism when handling sensitive or confidential information. 
  • Bonus: familiarity with Tropic, Juro, DataGrail, or similar platforms; background at a tech or e-commerce company.

  • A focused onboarding to Grove's specific tools and processes — you bring the underlying experience, we'll handle the specifics. 
  • Real ownership of how legal operations runs at a public company, with guidance available for genuinely novel situations, not routine ones. 
  • A collaborative team that treats legal ops as a strategic function worth investing in.

IMPORTANT DETAILS

This temporary, non-exempt position is remote for candidates based in the following states: California, Maine, Pennsylvania, Nevada, North Carolina, Texas, Colorado, Washington, Illinois, New York, Missouri, and Massachusetts.

The comp range for this role is $28-34/hour. Our compensation bands are determined based on market-specific cost of living data, meaning that the top of our range is reserved for the most experienced candidates in the highest cost of living areas across the country. This role is not eligible for an annual incentive target or equity.
