Financial Operations & Accounting Specialist – QuickBooks, Reconciliation & Multi-Entity

About the Role
At Pavago, one of our clients is hiring a Financial Operations & Accounting Specialist to manage financial records, reconciliations, and reporting across multiple entities.
This is a hands-on financial operations role — not basic bookkeeping. You’ll ensure financial data stays accurate, organized, and reliable, while identifying discrepancies and improving reporting workflows.
If you’re strong with QuickBooks, reconciliations, and Google Sheets/Excel and naturally spot inconsistencies in financial data, this role is a strong fit.
What You’ll Own
Accounting & Reconciliations
- Maintain and reconcile financial records across multiple entities
- Ensure transactions are accurately recorded in QuickBooks
- Investigate and resolve discrepancies
- Maintain clean, organized, and audit-ready financial records
Financial Reporting
- Prepare monthly financial reports and summaries
- Build and maintain financial trackers in Google Sheets / Excel
- Ensure consistency between accounting systems and reports
- Organize financial data for clear leadership visibility
Expense & Transaction Tracking
- Track property-level expenses, CapEx, interest, and other financial activity
- Ensure transactions are properly categorized
- Maintain accurate supporting documentation
- Identify missing entries, errors, or inconsistencies
Bank & Vendor Coordination
- Follow up with banks and vendors when needed
- Verify transactions, balances, and supporting information
- Ensure external records align with internal financial data
Process Improvement
- Identify inefficient or repetitive financial workflows
- Improve trackers, reporting systems, and documentation
- Build repeatable processes that improve accuracy and scalability
Requirements
- Experience in accounting, bookkeeping, or financial operations
- Hands-on QuickBooks experience; multi-entity experience strongly preferred
- Advanced Google Sheets / Excel skills, including formulas and complex trackers
- Strong reconciliation and financial data analysis skills
- Excellent attention to detail
- Strong analytical and problem-solving ability
- Ability to work independently with minimal supervision
- Clear written and verbal English communication
- Availability during U.S. business hours
Nice to Have
- Multi-entity or property-based accounting experience
- Experience tracking CapEx and property-level expenses
- Financial reporting experience
- Familiarity with Google Drive and Slack
- Experience improving accounting processes or financial systems
