Job description

Overview:

Planned Systems International (PSI) is seeking an organized, service-oriented professional to join our team as a Project Support Specialist supporting multiple government staffing programs. This position serves as a central point of contact for assigned contract employees and provides day-to-day operational support to the Program Manager, employee outreach, and responsive resolutions of routine workplace and healthcare staffing matters.

 

The successful candidate will communicate professionally with employees, program leadership, corporate support teams, staffing partners, and customer stakeholders while managing competing priorities in a fast-paced environment. In this role, you will act as a liaison between employees and the Program Manager, support timesheet and attendance administration, coordinate employee outreach, document and route performance-related concerns, and assist with invoice tracking and financial calculations.

Essential Functions and Job Responsibilities:
  • Assist the Program Manager and back-office team by coordinating project activities, maintaining documentation, and facilitating communication between internal teams and remote healthcare workers.
  • Coordinate task-order launch checklists, timelines, deliverables, job requisitions and onboarding checks.
  • Assist the Program Manager with delivery to remote staff adjustments or improvements to procedures or policies.
  • Track attendance concerns, call-outs, tardiness, no-shows, and extended absences, and promptly escalate issues to the Program Manager.
  • Receive, document, and route customer concerns involving employee attendance, conduct, responsiveness, or job performance.
  • Troubleshoot routine timekeeping and payroll issues, including system access, charge codes, leave, holidays, overtime, missing entries, and approval routing.
  • Conduct regular employee outreach to support engagement, identify emerging concerns, and respond to routine questions and daily workplace issues.
  • Monitor timesheet submission, approval, correction, and completion across assigned programs; follow up on missing, late, incomplete, or inaccurate records.
  • Serve as a liaison between employees, the Program Manager, corporate support teams, staffing partners, providing accurate and timely status updates
  • Prepare routine correspondence, employee notices, meeting materials, and follow-up communications; coordinate meetings and track action items through completion.
Minimum Requirements:
  • US Citizen
  • High School Diploma or equivalent.
  • At least one (1) year of experience providing administrative, office, or program support.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and recurring administrative processes.
  • Excellent written and verbal communication skills with the ability to interact professionally with internal teams, employees, managers, corporate staff, and external stakeholders.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams.
