Job description

Data Migration Associate

Location: Remote (US)

Role Summary

The Data Migration Associate is responsible for executing the end-to-end data migration process for SMB Petcare customers during onboarding, following established procedures and tools. This role receives client-provided data files, evaluates data quality, and performs the hands-on work of organizing, cleaning, and transforming data for extraction into a proprietary migration tool used to import data into client applications. This role requires strong technical proficiency in Excel, sharp attention to detail, and the ability to follow structured processes across multiple concurrent migration workstreams.

What You'll Do:

1. Client Data Intake & Assessment

  • Receive and review client-provided data files in a variety of formats (CSV, Excel, etc.) to assess structure, completeness, and quality.
  • Identify gaps, formatting inconsistencies, duplicate records, and data anomalies prior to processing.
  • Maintain tracking of submission and migration status across multiple concurrent onboarding engagements.
  • Flag data gaps, corrections needed, or missing information to the Onboarding Specialist for client follow-up.

2. Data Cleaning & Transformation

  • Organize and clean raw client data to meet the structural requirements of the proprietary migration tool.
  • Use advanced Excel capabilities, including XLOOKUP, pivot tables, and Power Query, to manipulate, reshape, and validate data at scale.
  • Use basic SQL queries, where needed, to extract targeted datasets from client databases, with support from the Shared Services team for more complex queries.
  • Apply consistent data standards and transformation logic across all onboarding engagements.

3. Data Extraction & Migration Execution

  • Extract prepared data into the proprietary migration tool following established procedures.
  • Execute data imports into client applications, validating results for accuracy and completeness post-import.
  • Troubleshoot import errors and data mapping issues, escalating systemic problems to senior team members when appropriate.
  • Ensure migrations are completed within onboarding timelines without sacrificing data integrity.

4. Quality Control & Documentation

  • Enforce data quality standards throughout the intake, cleaning, and migration lifecycle.
  • Maintain accurate records of data submissions, transformation steps, issues identified, and resolutions.
  • Log data issues and resolutions using standard templates for team reference.

What You'll Bring:

Technical & Functional Skills

  • Advanced Microsoft Excel proficiency, including XLOOKUP, pivot tables, and Power Query for data manipulation and transformation.
  • Familiarity with structured data formats, including CSV, Excel, and flat-file structures.
  • Ability to interpret data relationships and identify format or structural errors across datasets.

Execution & Detail Orientation

  • Strong attention to detail and commitment to data accuracy.
  • Ability to follow and apply structured processes consistently across multiple workstreams.
  • Strong organizational skills for managing simultaneous client data migrations.
  • Comfortable operating in a high-volume, process-driven environment.

Communication

  • Clear and professional written communication skills.
  • Ability to clearly explain data issues and required corrections to internal stakeholders, including Onboarding and Configuration teams.

Problem Solving

  • Ability to identify and resolve data inconsistencies, format errors, and mapping conflicts.
  • Structured approach to reviewing and troubleshooting complex datasets.
  • Willingness to escalate issues to senior team members when appropriate.

Preferred Qualifications (Nice to Have)

  • Basic SQL experience for querying and extracting data from relational databases.
  • Exposure to SaaS onboarding or data migration workflows.
