REMOTE, PER DIEM ROLE

Summary:

The Leave Specialist serves as primary liaison and day-to-day contact for employees, managers, HR Business Partners, and third-party vendors throughout the lifecycle of an employees leave of absence. The Leave Specialist must be knowledgeable in State and Federal regulations governing leaves of absence and the ability to interpret leave policies and collective bargaining agreements. Leave types include Short Term Disability, NY & CT Paid Family Leave, Family Medical Leave, Workers Compensation and Personal Leaves of Absence. The Leave Specialist will also work closely with payroll and be familiar with payroll processes.

Responsibilities:

  1. Coordinates the processing of all Leaves of Absence (LOA) according to Nuvance Healths Leave of Absence policies, union contracts and all applicable federal and state laws such as ADA, FMLA etc. Has a thorough understanding of company policies and federal and state regulations to ensure accurate, fair and consistent policy provisions.
  2. Intakes employee questions and concerns regarding leaves of absence benefits, HR policy and program administration in a professional, supportive, responsive and timely manner. Partners with employees manager, HRBP, payroll and third-party vendors to resolve complex issues and/or address concerns.
  3. Serves as the main point of contact for employees regarding LOAs for across the organization, communicating LOA policy, rights and benefit coordination. Provides information to all interested parties (i.e. managers, HRBPs, and employees) on LOA procedures and payroll processing matters.
  4. Manages the lifecycle of individuals disability related to medical and pregnancy accommodations, ensuring compliance and timely resolution. The lifecycle of individual disability related to medical and pregnancy accommodations, ensuring compliance and timely resolution.
  5. Acts as a liaison between third-party leave and workers compensation administrators, Employee Health, managers, and HRBPs to ensure effective processing throughout the leave lifecycle.
  6. Assists in coordinating the Workers Compensation Case Management Program to ensure injured employees receive medical care promptly and cost-effectively, facilitating their earliest possible return to work.
  7. Receives, processes, and approves biweekly payroll files from third-party administrators, ensuring accurate allocation of Paid Time Off and approved Leave Bank for timely payroll processing.
  8. Processes the biweekly payroll for employees on leave, preparing submissions to payroll for NY and CT to ensure accuracy and timely completion.
  9. Manages timecards in UKG for all employees on continuous leave (STD, FMLA, PFL, etc.) to ensure supplement pay is allocated correctly
  10. Responds to shared LOA/ADA inboxes and the ticketing system to address questions regarding leave in a timely and professional manner.
  11. Assists with accurate reporting and ensures compliance with all applicable federal and state laws and regulations governing employee leaves of absence.
  12. Keeps abreast of legislative changes and proactively identify potential impacts to Leave Manager and/or Total Rewards leadership. Recommend changes to processes where applicable.
  13. Model and uphold organization s mission and value in all interactions and decisions Demonstrates regular, reliable and predictable attendance.
  14. Performs other duties as required.

Education Skills Experience:

 

  • Knowledge of FMLA, PFL, and A regulations
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Strong organizational skills and exceptional attention to detail
  • Ability to maintain confidentiality and exercise discretion in all matters.

  • Knowledge of timekeeping systems, including UKG.
  • Experience with HRIS systems such as Infor, Lawson and/or other HR Information System.
  • Experience with leave payroll processes.
