Position Title

Contracting Operations Analyst

Days - Full Time

Position Summary / Career Interest:

Operating independently, the Contracting Operations Analyst performs a key role in the ongoing advancement of the health system's contracting processes, which are focused on negotiating and executing contracts which maximize financial return and legal protection for the health system. This position supports the ongoing development of contracting processes through the design and development of the health system's contract lifecycle management ("CLM") system solutions and reporting which enhance collaboration between Contracting, Spend Management's Category Management team, Health Information Technology Services (HITS), and our internal customers. In addition, the Contracting Operations Analyst manages critical daily functions of the Contracting department which reinforce consistency of contracting processes and ensures the department's effective end-to-end management of the contract management process. Further duties include responsibility for the project management of current and future Contracting initiatives and projects, including present and future technology solutions, and ongoing Contracting department functions related to physician administrative services contracts and policy-driven reporting and communications with contract owners.

Responsibilities and Essential Job Functions
  • Serve as the health system's system CLM administrator:
  • a) Perform CLM application training for new hires and focused training for full team when enhancements are made
  • b) Serve as the first point of contact for user questions and troubleshooting system issues
  • c) Configure and manage workflows and terms and conditions playbooks
  • d) Perform CLM system account management functions, including user roles, permissions, and integrations
  • Reinforce consistency with health system contracting processes through the following:
  • a) Responsible for ensuring department work processes and training materials, including those for the CLM system, are comprehensive and up to date.
  • b) Responsible for performing monthly database audits and providing feedback to analysts with focus to reduce/eliminate recurring errors.
  • c) Design and execute custom and standard contract reporting for Contracting Department and internal customers in support of contracting process transparency.
  • d) Provide coverage for Contract Quality Assurance Manager during periodic days off.
  • Support Contracting's end-to-end contract management processes with direct responsibility for:
  • a) The contract execution process utilizing DocuSign or similar software, updating the CLM system and archiving executed documents to ensure consistency and ease of retrieval as needed.
  • b) Managing notifications to department leadership/contract owners of contracts pending expiration, renewal dates or deadlines with reasonable advance notice at a minimum of at least 60 days prior to such dates or deadlines.
  • c) Managing internal departments’ requests for historic contract data and executed documents.
  • d) CLM application management and archiving of certain contract types, i.e., Managed Care and EpicCare Link Agreements utilizing information provided by those departments.
  • Serve as the Contracting Department’s project lead for CLM system enhancements, as well as any new contracting software adoptions.  This may include design, documentation of design decisions, workflow redesign and documentation, testing and troubleshooting.
  • Responsible for overall contracting project management of medical administrative services agreements.  Consults with Director as needed for unusual or complex compensation situations.  This includes maintaining detailed spreadsheet of current and recently terminated directorships; preparing exhibits for newly appointed directorships, updating CLM system; archiving exhibits and distributing exhibits to involved parties; biennial updates to Administrative Compensation Tool along with preparing replacement exhibits for majority of physicians using mail merge.
  • Serve as the Contracting Department’s project manager for the process and data integration for new health system acquisitions.
  • Manages annual Joint Commission contract evaluation process, including reporting, for health system leaders’ required evaluations of specific vendors’ performance of contracted patient services.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • Bachelors Degree from an accredited college or university.
  • 1 or more years of experience managing comprehensive datasets utilizing database or other software applications.
  • 1 or more years of experience managing process improvement initiatives, including development and documentation.

Preferred Education and Experience
  • Master's Degree from an accredited college or university.
  • Experience with contract lifecycle management software.
  • Experience working with contracts
  • Experience working for a health care organization

Knowledge Requirements
  • MS Office experience.
