Job Title: Director, Project Management

Location: Remote/Hybrid - USA

Reports to: Chief Information Officer

Department Name: Information Technology

Position Summary

The Director of Project Management is responsible for the leadership of Rubicon’s Project Management Office (PMO). Leading the PMO, the Director of Project Management will be responsible for establishing how work enters and is prioritized, delivered, and measured. The Director of Project Management will also establish and communicate the program governance, with board level visibility and dated commitments. Reporting to the Chief Information Officer, you will play a crucial role in executing a companywide technology transformation with a managed delivery-build program, a modernized data and reporting platform, vendor transitions, and AI initiatives that are aimed directly at revenue.

Through cross functional collaboration with Account Management, Data Management, Technology, and other operational and internal teams, you will play a crucial role in defining the rhythm for technology delivery across the company and building a PMO that the business trusts. The Director of Project Management owns the discipline that will support the companywide technology transformation.

Essential Duties & Key Responsibilities

  • Stand up the project management office, including the methodology, tooling, templates, and delivery standards every technology initiative follows.
  • Build the front door for technology work through a single intake process with transparent prioritization and a portfolio view that shows leadership everything in flight, its status, and its cost.
  • Run program-level governance for the transformation including workstream tracking against milestones, dependency management, risk and issue escalation, and stage-gate discipline.
  • Manage delivery-partner execution against contracted milestones and acceptance criteria, holding partners accountable to their outcomes.
  • Produce the monthly technology metrics pack and support the quarterly report to executive leadership and the board, communicating delivery health, budget versus actual, and commitment status, all stated plainly.
  • Coordinate the project mechanics of vendor exits and insourcing transitions through knowledge transfer plans, cutover checklists, and closure criteria.
  • Raise project management maturity across the technology organization through coaching, standards, and hiring as the function grows.
  • Ability to travel and/or work onsite up to 20%.
  • Performs other duties as assigned or apparent.

Supervisory Responsibilities:

  • This job has supervisory responsibilities including the supervision of project management staff and project leadership.
  • Set clear goals, priorities, and performance expectations; ensure accountability.
  • Drive employee engagement, team culture, and a positive work environment.
  • Lead hiring, onboarding, and employee development efforts.
  • Ensure compliance with company policies, practices, and partner with HR on employee matters.

Experience & Qualifications:

  • High School Diploma required. Bachelor’s degree in Business, Information Systems, Data Science, or related field preferred.  
  • 8+ years of program and project management experience, with 3+ years leading a PMO or major transformation program.
  • PMP, PgMP, or equivalent certification preferred.
  • Proven success standing up PMO capability in an environment that has few formal processes in place, technology transformation experience in private equity backed companies preferred.
  • Experience governing external delivery partners and vendors against milestone-based contracts.
  • An in-depth understanding of delivery methods and the ability to administer them, based on the use case.
  • Strong financial literacy with experience in budget tracking, capitalization awareness, and reporting delivery cost against plan.
  • The ability to honestly, effectively, and clearly communicate project status and overviews to executive and board level management.
  • Experience with order-to-cash, ERP, or data platform programs preferred.
  • Exposure to organizational change management during restructuring is a plus.
  • Ability to coach, mentor, and develop a team while empowering staff to take ownership of root cause solutions.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Discretion and trustworthiness in handling sensitive information and supporting high-level strategic initiatives.
  • A proactive, can-do attitude with a willingness to take ownership of tasks and drive them to completion.
