Job description

ESQlabs is an innovative, internationally acting Contract Research Organization and a global leader in the development and application of the OSP Suite (www.open-systems-pharmacology.org). We are a research-focused provider of specialized computational analyses in the life sciences industry.

About the role:

We are looking for a hands-on, well-organized Marketing & Events Assistant to take ownership of the day-to-day operational tasks that keep our marketing, events, and training activities running smoothly. The work is straightforward but fundamental: consistent execution across content production, event logistics, and workshop coordination. You will work closely with the Marketing & Training teams and support collaboration with our scientific and administrative teams.

Responsibilities:

Marketing:

  • Produce content using our Canva templates: fill in and adapt existing designs, and create new assets where needed. Video content creation is a plus.

  • Support content production for LinkedIn and email marketing.

  • Handle community management for our LinkedIn pages (ESQlabs and MPSlabs): monitor, respond, and engage.

  • Maintain the content calendar and ensure we stay consistent with the monthly plan.

  • Generate regular performance reports covering Mailchimp, LinkedIn, YouTube, and Google Analytics.

  • Support marketing campaigns in LinkedIn Campaign Manager (prior experience with the tool is a plus).

  • Provide WordPress support: small website updates, news posting, and article publication in collaboration with the scientific team.

Events & Conferences:

  • Coordinate the events calendar: plan our participation ahead of time and secure booths or workshop slots at selected conferences.

  • Coordinate conference participation end to end: booth setup, flyers, and merchandise logistics, including shipping to the venue and confirming receipt and pick-up of materials with the organizers.

  • Support the Administration Assistant with merchandise stock tracking, flagging items that are running low.

Training & Webinars:

  • Own workshop coordination from start to finish:

    • Create the registration page and gather all workshop information from instructors and the training lead.

    • Send pre-workshop emails to registrants and provide participants with access to TalentLMS courses.

    • Collect workshop materials, ensure feedback collection and reporting, and send the post-event follow-up email to participants.

  • Handle workshop logistics: research, quote, and select a suitable venue; align with the venue on room setup, catering, pricing, invoicing, technical equipment, and internet to ensure a smooth training experience.

  • Support webinars: set up the Zoom event page and manage registrant acceptance.

 

What we're looking for:

  • Strong organizational skills and attention to detail . You keep track of many small moving parts and follow through reliably.

  • Hands-on experience with Canva or similar design tools.

  • Familiarity with LinkedIn, email marketing platforms (ideally Mailchimp), and WordPress.

  • Comfortable working with data and producing clear, consistent reports.

  • Good written communication in English.

  • Proactive, service-oriented mindset: you spot what needs doing and take care of it.

Nice to have:

  • Experience with LinkedIn Campaign Manager.

  • Video editing / video content creation skills.

  • Experience coordinating events, conferences, or trainings.

  • Familiarity with Zoom webinars, Google Analytics, MailChimp.
