Job Description
 

The US Payroll Manager is the senior operational leader for all US payroll activity, serving as the primary point of escalation and decision-making during US business hours. This role removes time-zone dependency on the Global Payroll Director by owning end-to-end delivery across 5 legal entities, leading a team of 3 specialists, and driving continuous improvement across processes, compliance, and systems.

Key Responsibilities:

Team Leadership & Development

  • Manage, coach and develop 3 Payroll Specialists; conduct regular 1:1s, set objectives, and lead performance reviews

  • Allocate entity and workload ownership across the team, balancing complexity and coverage risk

  • Build a positive team culture with clear accountability and defined career pathways

  • Serve as first-line escalation for all payroll queries, exceptions, and processing issues during US hours

Payroll Operations

  • Oversee end-to-end payroll processing cycles across all 5 US legal entities, ensuring accuracy and on-time delivery

  • Perform final review and sign-off on payroll runs before funding; act as hands-on processor for complex or high-risk entities

  • Manage off-cycle payroll runs, retroactive adjustments, and termination calculations

  • Own the payroll calendar and ensure all deadlines are met across entities

Compliance & Controls

  • Ensure compliance with federal, state, and local payroll tax regulations across all jurisdictions

  • Maintain SOX controls documentation and support internal and external audits

  • Manage year-end processes including W-2 production, reconciliations, and tax filings

  • Monitor legislative and regulatory changes affecting US payroll; implement required process updates

Vendor & Stakeholder Management

  • Own day-to-day relationships with payroll system vendor, tax filing agents, and benefit administrators

  • Partner with HR, Finance, Legal, and Benefits teams as the primary US payroll contact

  • Prepare and present payroll metrics, exception reports, and KPIs for the Global Payroll Director and senior stakeholders

Process Improvement & Projects

  • Identify and lead process improvement initiatives to enhance accuracy, efficiency, and controls

  • Support system upgrades, new entity set-ups, and M&A-related payroll integrations

  • Contribute to global payroll strategy and standardization projects led by the Global Payroll Director  

Required Experience & Qualifications 

  •  7+ years of US payroll experience, including multi-state and multi-entity environments

  • 2+ years in a supervisory or team lead role with direct people management responsibility

  • Deep knowledge of US federal and state payroll tax law, wage and hour regulations, and year-end compliance

  • Hands-on experience with enterprise payroll systems (Workday Payroll)

  • Experience operating within SOX-controlled environments

  • CPP (Certified Payroll Professional) and Workday Payroll certification necessary

  • Advanced excel skills and Power BI preferred

Additional Information
 

Physical requirements for this role include the ability to work at a computer terminal with monitor, keyboard and mouse for extended periods of time, stoop, bend, and reach for equipment and supplies, make frequent repetitive motions required to operate a computer that include the wrists, hands and fingers, and lift, carry, push, pull, and move light objects up to 20 pounds. The role also requires the ability to effectively communicate through verbal interactions, discern auditory information, and visually perceive details to perform essential job functions.

Salary and Benefits

Salary Range: $103,500 - $129,500

Commission Eligible: No
