Opportunity (Full-Time): Contracts, Compliance, and HR Administrator

Bottom Line Up Front: The Hoplite Group is seeking a junior- to mid-level specialist to support prime/subcontract financial administration and compliance as well as assist in human resources management within a fast-growing small business, veteran owned company focused on government contracting.

Location: Remote

Reports To: Administration and Finance Director

Position Summary: This position focuses 80% on contracting (including subcontract administration) and financial compliance responsibilities, with 20% support to supporting human resource and administrative duties in a fast-growing small business, focused on government contracting. This position is responsible for supporting DCAA-compliant accounting processes, subcontract administration, onboarding and offboarding, benefits administration, and time tracking. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining professionalism, confidentiality, and accuracy.

Essential Duties and Responsibilities
  • Support accounts payable and accounts receivable functions in QuickBooks Online and Rippling in accordance with DCAA accounting requirements.
  • Maintain accurate accounting records, company ledgers, job cost data, and supporting documentation for audit readiness.
  • Assists in new hire onboarding and employee offboarding, including document collection, verifications, background checks, and I-9 processing.
  • Maintain employee, personnel, and benefits records in Rippling and employee files.
  • Administer time tracking and assist with review of employee timesheets, attendance records, and payroll support items.
  • Track HR compliance requirements, training acknowledgments, policy receipts, and employee documentation.
  • Serve as subcontract administrator by maintaining subcontract files, documentation, modifications, deliverables, and closeout records.
  • Support subcontractor administration through multiple portals and liaise with internal staff and subcontractors as needed.
  • Assist with subcontract pricing support, proposal cost builds, cost analysis, and backup documentation.
  • Assists in maintenance of internal contract compliance records, checklists, and SOPs in accordance with FAR, DFARS, DCAA, and company requirements as applicable.

Qualifications and Desired Attributes
  • Government contracting experience, with prime or subcontract administration experience, that include familiarity with DCAA best practices, FAR, DFARS.
  • Minimum of associate’s degree in accounting, business administration, finance, human resources, or a related field preferred; equivalent experience considered. Bachelor’s or advanced degree or certificates offer strong advantage.
  • 3-5 years of progressive experience in accounting, subcontract administration, HR administration, finance, or government contracting support.
  • Experience supporting onboarding/offboarding, benefits administration, employee records, and timekeeping preferred.
  • Experience supporting proposal pricing, cost builds, subcontract files, invoice review, and contract administration preferred.
  • Proficiency in QuickBooks Online, Rippling, Microsoft Office, and Google Workspace.
  • Strong attention to detail, organizational skills, and ability to work independently in a deadline-driven environment.
  • Ability to pass background check, obtain, and maintain a Department of War Secret Clearance.

Work Environment: This position is cross-functional across finance, HR, and subcontract administration and operates in a fast-paced, deadline-driven, professional remote environment. The role requires the handling confidential information as well as regular coordination with internal staff, management, and subcontracting partners. Flexibility, professionalism, and responsiveness are essential to support business operations.

Compensation: Commensurate with experience.
