Job description

Why Charlie Health?

Millions of people across the country are navigating mental health conditions, substance use disorders, and eating disorders, but too often, they’re met with barriers to care. From limited local options and long wait times to treatment that lacks personalization, behavioral healthcare can leave people feeling unseen and unsupported.

Charlie Health exists to change that. Our mission is to connect the world to life-saving behavioral health treatment. We deliver personalized, virtual care rooted in connection—between clients and clinicians, care teams, loved ones, and the communities that support them. By focusing on people with complex needs, we’re expanding access to meaningful care and driving better outcomes from the comfort of home.

As a rapidly growing organization, we're reaching more communities every day and building a team that’s redefining what behavioral health treatment can look like. If you're ready to use your skills to drive lasting change and help more people access the care they deserve, we’d love to meet you.

About the Role

Charlie Health is one of the fastest-growing startups in the healthcare industry, working tirelessly to connect people everywhere to life-saving mental health treatment. Our Outreach team members are the lifeblood of our business; they know our product, partners, and patients better than anyone. In this role, you’ll be joining a team of passionate professionals who are dedicated wholeheartedly to our mission.

The Business Development Coordinator supports Charlie Health’s Outreach team by ensuring top notch patient experience and referral source experience for our go-to-market channels.

You’ll play a critical role in supporting patients’ journey into care with Charlie Health, while maintaining the accuracy and efficiency of our internal systems — helping ensure that every client seeking care can be connected to the right treatment pathway without delay.

You will be responsible for partnering with key team members to address barriers to care, create streamlined referral source experiences, and ensuring vital referral information is  up-to-date and accurate. You will be both internal and patient-facing in your day to day, driving significant access for patients and referral sources alike.

Responsibilities

  • Execute data entry tasks, ensuring data is entered accurately and efficiently into relevant systems or databases. Establish quality control measures to minimize errors and maintain data integrity
  • Review and process referral information daily to ensure accuracy and completeness
  • Maintain up-to-date and organized referral and provider data in internal systems
  • Create and update account and contact records to reflect new or changing provider relationships
  • Continuously evaluate and optimize pre-admission, in-care, and post-care operational processes to enhance efficiency, accuracy, and scalability. Identify automation opportunities and implement solutions to streamline workflows and reduce manual effort
  • Support development and scalability of quality assurance measures and perform regular audits to validate the accuracy and completeness of data. Develop and maintain documentation of data processes, standards, and best practices
  • Collaborate with stakeholders from various departments including admissions, clinical, growth strategy, partnerships, care experience, and compliance to understand patient, referral source, and data requirements and priorities.
  • Communicate effectively with internal teams to address data-related issues and support business objectives

Requirements

  • Bachelor's degree
  • 1–2 years of experience in an operations, administrative, or data-entry-focused role (healthcare experience a plus)
  • Proficiency with CRM platforms (Salesforce experience preferred) and comfort working with digital tools and databases
  • Passion for Charlie Health’s mission to expand access to high-quality mental health care
  • Exceptional attention to detail and accuracy in managing data
  • Excellent organizational and time-management skills, with the ability to manage high-volume workflows
  • Exceptional communication and deescalation skills, you are motivated by solving difficult problems for clients and providing exceptional service
  • Proactive self-starter and natural multitasker with a willingness to “be scrappy” driving continuous improvement
  • Ability to work flexible hours to meet the needs of the team and patients
  • Work authorized in the United States and native or bilingual English proficiency
