Position Summary:

Swiftly is seeking a highly organized, execution-focused Senior Event Manager to own the logistics and on-the-ground details for 20+ partner and industry events per year. This role executes against event strategy, venue/vendor decisions, and budgets that are set by senior leadership. The ideal candidate works independently with no supporting staff, is comfortable juggling multiple overlapping events under compressed deadlines, and brings meticulous attention to detail across every phase of execution, from pre-show marketing coordination through on-site setup, breakdown, and post-event reporting. In addition to hands-on event logistics expertise, this senior-level candidate is skilled in vendor coordination, budget tracking and reconciliation against a pre-approved budget, and reliable, deadline-driven follow-through across a high-volume annual event calendar.

This is a part-time role, working around 20 hours a week on average; given the 20+ event annual calendar, weekly hours will fluctuate and increase during peak pre-show and event weeks.

Preference for candidates located in Pacific/Central time zones. 


Responsibilities Include:
  • Own end-to-end logistics execution for 20+ partner and industry events per year, working from event strategy, vendor selections, and budgets set by senior leadership
  • Manage and execute to all deadlines across a high-volume, overlapping event calendar
  • Track spend and reconcile actuals against a pre-approved budget for each event; flag variances to leadership
  • Coordinate with internal staff, partners, and vendors to confirm event requirements and logistics details, keeping senior leadership informed of status throughout planning
  • Manage all cross-functional efforts to support pre-show activities and ensure they are completed on time including; email outreach, social media, marketing materials, sales enablement, swag and giveaways, and lead tracking
  • Produce post event reports for Senior Leadership detailing event performance, tracking key metrics and assessing Return On Investment
  • Lead all pre-show and post-show prep meetings
  • Manage on-site preparations, including event set-up and breakdown
  • Other duties as assigned

  • 5-10 years of proven experience in event management
  • Experience developing and executing event strategies
  • Proactive and takes initiative
  • Experience tracking, reconciling, and reporting against event budgets
  • Strong interpersonal and communication skills
  • Excellent organizational skills, including multitasking, time management, and an extremely high attention to detail
  • Ability to handle pressure and make good decisions quickly
  • Ability to travel as needed
