The Payroll Manager will be responsible for the accurate and timely processing of payroll across multiple companies and legal entities. This role requires expertise in multi-state payroll compliance, payroll tax administration, employee deductions, and HRIS/payroll systems. The ideal candidate has extensive experience with Paylocity, has processed payroll in Puerto Rico, and is comfortable partnering closely with both Human Resources and Finance. This is a remote position reporting to the Director, Human Resources with a dotted line to Finance. 


Key Responsibilities:
 

  • Process bi-weekly and semi-monthly payroll for multiple entities and companies, ensuring accuracy and compliance.  
  • Manage all aspects of multi-state payroll, including state and local tax registrations, withholding, filings, and compliance.  
  • Process and maintain Puerto Rico payroll, ensuring compliance with all applicable local tax and labor regulations.  
  • Administer payroll deductions, garnishments, benefits, 401(k), and other employee withholdings.  
  • Complete new hire tax registrations and ensure all payroll tax accounts are established and maintained as new entities are added.  
  • Reconcile payroll prior to transmission and resolve payroll discrepancies in a timely manner.  
  • Serve as the subject matter expert for Paylocity, including payroll processing, system configuration, troubleshooting, reporting, and continuous process improvement.  
  • Partner with HR on new hires, terminations, compensation changes, and employee data management.  
  • Work closely with Finance (dotted-line reporting relationship) to support payroll reconciliations, general ledger entries, audits, accruals, and financial reporting.  
  • Ensure compliance with all federal, state, local, and Puerto Rico payroll laws and regulations.  
  • Maintain payroll records, prepare reports, and support internal and external audits.
Requirements
  •  5+ years of progressive payroll management experience processing payroll for multiple entities.  
  • Demonstrated experience with multi-state payroll administration.  
  • Experience processing payroll in Puerto Rico is required.  
  • Advanced expertise in Paylocity payroll processing and administration.  
  • Strong understanding of payroll taxes, tax registrations, garnishments, benefits deductions, and payroll compliance.  
  • Experience partnering with Finance on payroll accounting and reconciliations.  
  • Exceptional attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment.
