PROPOSAL & CONTRACT MANAGER
SPAIN/PORTUGAL (home-based)

The Proposals and Contract Manager purpose is to facilitate, oversee and provide complete business support for the TFS business development team from client meetings to proposal generation and closing of contracts.

Responsibilities

  • Manages assigned contract processes for all contracting scenarios, including but not limited to the coordination and finalization of the customer contract including the project specifications in the budget for proposals, contracts and change orders

  • Acts as proposals and contracts expert and key interface for customers, ensuring consistency in approach, metrics, and format

  • Ensure compliance of direct reports related to Proposals and Contracts team and TFS SOPs, processes, guidelines, policies, and any other related items within the Proposals and Contracts group

  • Support team in managing and prioritizing workload in relation to business needs, timelines, and client submissions with consistent accuracy and speed

  • Support team in developing cash neutral payment schedules

  • Ensure direct reports update Sales Force consistently with concise, accurate information for proposal, contract and change order status

  • Ability to innovate, identify, escalate, and implement solutions to create efficiency, increase client satisfaction and improve employee engagement

  • Provide comprehensive QC review of proposals, contracts and change orders.

  • Build strong client relationships and understand their respective contractual and work practices and guide operational teams to follow such practices

  • Lead discussion and negotiation with Legal and Business Development to determine the appropriate terms and conditions to be included in the contracts, inclusive of Letter of Intents and Start-up Agreements, Work Orders, and Change Orders

  • Lead discussion and negotiation with clients related to the contractual documents (Letter of Intents, Start-up Agreements, standalone contracts) and project budgets

  • Provide the relevant information, analysis, recommendations required, and solution for negotiations and discussions with clients regarding cost proposals/change orders/contracts to the Associate Director, Executive Director, the respective Sales personnel, and project teams.

  • Ensure clear and direct communication when corresponding (verbally or written) with the project team and client on the status any proposal, contract or change order

  • Organize, lead, chair, and manage internal meetings and/or client related meetings required related to contracts and change orders

  • Liaise with Associate Director and Executive Director on any issues that need to be escalated

  • Lead and participate in process improvement initiatives with a focus on streamlining process and adding value to business and client needs.

  • When requested be prepared and available to attend and support any client meetings, for example Capabilities meetings or Bid Defense Meetings (BDM)

  • Establish and maintain regular contact and an excellent rapport with future and current clients

  • Plan and attend major industrial events and tradeshows as budgeted and required

  • Support activities aiming to develop and retain maintain business relations with selected client accounts

Position requirements

  • Bachelor’s Degree or highly relevant industry experience

  • Minimum of three years of CRO industry experience and/or proposal writing/budget generation experience

  • Minimum of three years of clinical research and/or sales experience

  • Expert level communication/interpersonal skills and team leadership capabilities consistent with influencing and driving multiple stakeholders towards meeting the customer’s needs

  • Expert level organizational, planning and multitasking skills, as well as a predisposition to entrepreneurship, results and customer focus

  • Expert level knowledge of CRO business

  • Advanced computer competency with Microsoft Word and Excel

  • Awareness of trends and government policies and regulations in the clinical trials area of TFS Group countries

  • Ability to work independently and efficiently
