ABOUT THE ROLE



The Program Assistant provides various administrative and program support within the school for a specific program(s) or department. This position works collaboratively with faculty, staff, students and community partners to maintain accurate records, monitor key deadlines, and support student success throughout the program.

TYPE OF SUPERVISION:

Receive supervision from the varies.

  • Supervision — indicates that the incumbent performs a variety of routine duties within established policies and procedures or by referral to the supervisor’s guidelines.

POSITION DUTIES AND RESPONSIBILITIES:  

ESSENTIAL FUNCTIONS: 

  • Provide administrative support for program operations and processes
  • Support faculty and staff with various administrative duties
  • Coordinate a variety of program activities, including but not limited to communications, events, and stakeholder engagement efforts
  • Perform data entry, information gathering and basic reporting assistance as needed
  • May assist with student inquiries and provide information about program
  • May provide administrative support related to specific program activities such as accreditation, experiential learning placements (e.g. practicums, student teaching), tracking and maintaining student program data
  • Perform other duties, as assigned

POSITION SPECIFICATIONS AND REQUIREMENTS:

EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:

  • Bachelor’s degree or equivalent combination of education and experience
  • Related administrative, student services, program coordination, data tracking, or customer service experience preferred

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:

  • General understanding of higher education program coordination, academic processes, and student support services.
  • Knowledge of data collection methods, tracking systems, and basic program evaluation principles, policies, and procedures.
  • Knowledge of community partnerships and workforce development programs, particularly in behavioral health or social services.
  • Strong interpersonal and communication skills to work effectively with diverse stakeholders, interdisciplinary teams, and external partners.
  • Strong organizational skills, attention to detail, and ability to manage competing priorities in a deadline-driven environment.
  • Ability to analyze information, identify gaps in program processes or compliance, and support student success through coordination, follow-up, and connecting to resources.
  • Ability to multitask, troubleshoot and problem solve, and work effectively under pressure within a collaborative environment.

Machines, Tools, Equipment, Electronic Devices and Software:  Personal computer and intermediate knowledge of Zoom, Microsoft Office Suite, including word, excel, teams and outlook or equivalent Google Workspace tools (Gmail, Docs, Sheets, Slides).

Contact with Faculty and/or Staff:   Frequent

Contact with Community and Vendors: Frequent

The hiring range for this position is $21.00 to $24.00 per hour. Offers are determined by a variety of factors, including but not limited to geographical location, knowledge, skills, years & depth of experience, and equity with internal team members.
