Are you highly organised, detail-oriented, and enjoy coordinating multiple tasks while building strong relationships with clients and suppliers?

We are looking for a Junior Procurement Support Coordinator to join a growing US-based healthcare support team.

In this role, you will support the purchasing process for multiple healthcare facilities across the United States, ensuring orders are processed accurately, supplier queries are resolved efficiently, and facilities receive the supplies they need on time.

This is an excellent opportunity for someone with at least 1 year of exposure to procurement, purchasing or closely related admin function, who enjoys working in a fast-paced environment.

PLEASE NOTE:

  • Working Hours: This role requires you to work EST hours Mon - Fri from 9am to 6pm EST (3:00 PM to 00:00 AM South African time - subject to change in accordance with daylight savings in the United States).
  • Public Holidays: This role requires you to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
  • Work Environment: This is a fully remote working role.

Key Responsibilities:

  • Receive and review purchase orders submitted by healthcare facilities through the system, ensuring budget compliance, availability (including backorders), appropriateness, and alignment with purchasing trends before processing.
  • Manage and resolve tickets for non-catalogue items by communicating with facilities, sourcing required products, obtaining ownership approval, and completing the purchase process.
  • Monitor facility equipment rentals by tracking usage, ensuring items are not misused, maintaining rentals at minimum required levels, and coordinating timely returns.
  • Process electronic invoices within the system by matching them to purchase orders and syncing with the accounting software; investigate and resolve any discrepancies or mismatches.
  • Build professional relationships with clients and suppliers while delivering excellent service.
  • Manage vendor queries, backorders and product substitutions.

Requirements

  • Knowledge of purchasing or procurement processes.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and organisational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Comfortable working independently in a remote environment.
  • Strong computer literacy and ability to learn new systems quickly.
  • Experience working with US clients will be advantageous.
