About the Role
We're seeking an experienced Billing and Operations Specialist to ensure accurate financial processing and operational support during our high-growth phase. In this crucial role, you'll oversee invoicing, purchase orders, payroll tracking, and monthly financial processes. You'll have the opportunity to streamline operational workflows, maintain performance tracking systems, and support finance-related tasks across teams.

Responsibilities:

  • Ensure accurate and timely financial processing to support the company’s growth and operational efficiency.

  • Streamline operational workflows while maintaining performance tracking systems across teams.

  • Process invoices and subscriptions, and maintain accurate daily financial tracking reports

  • Provide support in verifying invoices, confirming the accuracy, completeness, and validity of billing details

  • Create, manage, and track purchase orders.

  • Handle subscription billing processes, including account acquisitions and transfers.

  • Provide support for account acquisition processes and renewal management.

  • Assist with the preparation of credit memos, estimates, and customer quotes as needed.

  • Update and monitor weekly performance metrics and reports.

  • Support month-end closing activities, including recurring and ad hoc invoicing, as well as system and location updates.

  • Collaborate cross-functionally with Invoicing and Fulfillment teams to ensure accurate and efficient billing operations.

  • Handle ad hoc operational and financial tasks in a fast-paced, dynamic environment.

Requirements:

  • Proven experience in billing, finance operations, or a related administrative role.

  • Familiarity with invoicing systems, purchase order processes, and financial reconciliation.

  • Highly detail-oriented with excellent organizational skills.

  • Strong problem-solving abilities and a proactive mindset in addressing operational issues.

  • Strong communication skills and ability to work effectively in a remote environment.

  • Availability to work during US business hours.

Bonus Points:

  • Experience with QBO, inventory management or e-commerce operational tools.

  • Background in retail, logistics, or fulfillment-based operations.

  • Previous work in a high-growth startup environment.

Job Details:

  • Full-time status (40 hours per week)

  • Able to work during US Eastern time zone 

  • Salary: $6 USD/hr

  • Location: Philippines
