Job Description:
The Intermediate IT Asset Management Administrator is responsible for the full lifecycle management of hardware and software assets (licenses) and maintaining the assets inventory. The Intermediate IT Asset Management Administrator uses an assessment management system to track, manage, analyze, and evaluate software licenses and hardware assets and their allocation across the company. This role reviews, processes, and monitors hardware and software requests submitted by users and regularly reports the status of these requests.
Additionally, this role manages the processing, monitoring, and reporting of software license needs. This role provides expertise and guidance for procedures and best practices in tracking the life cycle of IT assets and licenses. This role also ensures assets and license usage meets but does not exceed justified business needs.
Duties and Responsibilities
- Maintains IT assets using a centralized IT Asset Management database/repository of IT hardware and software assets, equipment, and licenses.
- Manage software assets related to the ITAM lifecycle for assigned portfolio of products/services and geographies, working towards consistent global coverage and responsibility.
- Leads and coordinates cross-functional activities to develop and maintain an accurate and complete asset inventory for reporting across the organization.
- Manages the information regarding licenses, warranties, and service agreements for the organization's hardware and software.
- Monthly reporting of all IT hardware and software assets.
- Performs regular audits of the organization's IT assets.
- Leads and executes asset management lifecycle activities from requisition through disposal.
- Assists with onboarding and offboarding process.
- Adjusts excess licenses as needed with software licensing terms.
- Monitors procurement and deployment of software and other IT-related assets.
- Ensures that project/department milestones/goals are met while adhering to budgetary constraints.
- Procures all end-user hardware requests.
- Directs and oversees the deployment of hardware and software assets to ensure established procedures are followed.
- Defines and develops IT asset management standards and best practices.
- Develop and implement policies and processes to control and maintain assets.
- Drives the development and implementation tracking and reporting of improvements.
- Oversees the PC Lifecycle, including the planning process for asset acquisition, replacement, and disposal.
- Determines key metrics to evaluate the ongoing effectiveness of asset management plans and strategies.
- Develops, implements, and improves systems that facilitate asset management.
- Develop methodologies for tracking asset lifecycle, inventory, locations, costs, and return on investment.
- Makes recommendations for improvements for cost-saving strategies to the license and asset management process and leads the implementation of improvements.
- Participates in stakeholder relationships to identify and analyze opportunities for improved asset usage across functional areas.
- Coordinates and maintains supplier and vendor agreements and relationships to benefit Datasite.
- Maintains supplier and vendor relations for IT hardware and software assets.
- Stay current on any trends or emerging risks relevant to the industry.
- Support contract renewals and licensing true-ups.
- Educate business and IT partners on ITAM best practices and policies.
Requirements:
- Expert proficiency in English (C1 or C2 levels – speak, read, write).
- Strong communication skills.
- 3 years of experience in IT Asset management, preferably within a Free Trade Zone environment
- Professional demeanor with the ability to conduct meetings with external vendors
- Previous experience in an IT asset management role preferred but not required
- Post-secondary degree strongly preferred
- Excellent organizational skills and attention to detail
- Experience with documenting processes and procedures.
- Proficiency with data management
Additional Requirements:
- Must be consistently available during core business hours of Monday – Friday, 8:00am – 4:30pm Central, to assist with global coverage.
- This is a hybrid role (100% remote is not available), our employees work on average 2-3 days per week in our Heredia office. Also, we require (1) in-person interview in Costa Rica.
