Position: Executive Assistant

Location: Remote (LATAM)
Schedule: Full-time, 930 to 1830 Eastern time
Contract Type: Independent Contractor Agreement
English Level: C1/C2 (Near-Native to Fluent)
Hiring Countries: Colombia, Nicaragua, Ecuador, El Salvador, Guatemala, Honduras, Venezuela
Rate: 4,000,000 to 4,500,000 COP per month (USD $1,080 to $1,215)

About the Role

We are seeking a highly organized and proactive Executive Assistant to support day-to-day business operations and executive priorities. This role combines executive support, client communication, payment administration, and cross-team coordination. The ideal candidate is professional, resourceful, and confident communicating with clients while keeping multiple projects organized and on track.

Key Responsibilities

  • Manage calendars, meetings, and executive scheduling.
  • Respond to client inquiries via email and video meetings.
  • Manage client payments, subscriptions, and billing follow-up.
  • Track client hours and ensure records remain accurate.
  • Coordinate with internal teams, including Recruitment and Marketing, to ensure projects move forward efficiently.
  • Prepare meeting notes and follow up on action items.
  • Maintain organized documentation, reports, and administrative systems.
  • Handle confidential information and provide general executive support.

Requirements

  • Previous experience as an Executive Assistant or Operations Assistant.
  • Excellent organizational and time management skills.
  • C1/C2 English with outstanding written and verbal communication skills.
  • Professional presentation and confidence on video calls.
  • Experience managing client communications and administrative processes.
  • Comfortable handling payments, subscriptions, and basic administrative finance tasks.
  • Strong proficiency with Google Workspace and Microsoft Office.
  • Ability to multitask, prioritize, and work independently.
  • High level of discretion, reliability, and professionalism.
