Job description

Overview:

About the Role & Team

Join IDC's events team as we build high-impact experiences for IT professionals and IT leaders across North America. We’re hiring a charismatic, organized, and client-centric Event Project Manager to support a portfolio of assigned events focused on our Canadian portfolio with a supporting role in various U.S. based events as well.  This role reports to the Sr. Director, Events – Americas and operates as part of a broader regional team, working collaboratively across a global events organization to deliver consistent, high-quality experiences. This is a remote full-time role with high visibility and impact—ideal for someone who thrives in a fast-paced, client-facing environment and can manage multiple concurrent events with autonomy from a home-based office based in the Greater Toronto Area.
As an Event Project Manager in Canada you will serve as the primary owner and client liaison across your assigned portfolio of events, managing sponsor relationships and coordinating event logistics from concept through execution. This role requires the ability to manage multiple event types simultaneously, including large-scale summits, custom (single sponsor) client events, and virtual programs. A strong emphasis is placed on delivering event experiences tailored to contracted client objectives.

You will focus on two primary areas:

  1. Partner Management Managing client goals and contractual activations across assigned events within the Canadian portfolio, including in-person and virtual programs.
  2. Event Operations Planning, coordinating, and executing all logistical elements to ensure seamless delivery across multiple concurrent events. You will work closely with event colleagues in the U.S., Canada and Mexico as well as our broader global internal teams across design, content, operations, and sales plus external suppliers and partners. While this role primarily supports the Canadian portfolio of events, with secondary focus on the U.S. portfolio, IDC operates as a global events business. You will regularly collaborate with stakeholders across multiple regions and time zones. Core working hours are typically 9:00 AM – 5:00 PM ET; however, flexibility is expected to accommodate business needs, including global coordination and live event execution.

What You’ll Do:

Partner Management

  • Lead kickoff calls and ongoing meetings with sponsors to align on goals, expectations, and deliverables
  • Translate client business objectives into tailored activation strategies across in-person, virtual, and custom event formats
  • Manage sponsor relationships across multiple assigned events, ensuring a high level of service and engagement
  • Coordinate and execute custom client programs, including executive dinners, roundtables, private events, and bespoke experiences.
  • Collaborate with audience development to support sponsor-targeted attendee recruitment
  • Manage sponsor participation in speaking opportunities, panels, and brand activations at in-person summits
  • Lead regular communication with clients, suppliers, and internal stakeholders (primarily via MS Teams)
  • Track KPIs, gather post-event feedback, and deliver ROI reporting to sponsors
  • Partner closely with sales teams to manage expectations and ensure client satisfaction

 Event Operations

  • Plan and execute event logistics across multiple concurrent programs, including venue coordination, floorplan management, AV, branding, and client activations
  • Develop and manage detailed event documentation, including project plans, run-of-show, budgets, and supplier contracts
  • Coordinate with internal and external stakeholders to manage agendas, timelines, and deliverables
  • Ensure seamless sponsor visibility and execution to deliver a high-quality experience for both attendees and clients
  • Travel to assigned events (approximately 4–6 times annually), within North America
  • Supports select events in key cities such as Toronto, Vancouver, Calgary, San Francisco, New York City, Chicago, Dallas, and Boston
  • Oversee onsite execution, including client management, meeting coordination, and event troubleshooting
  • Manage post-event activities including reporting, financial reconciliation, client deliverables, and debriefs

What You Bring

  • 5+ years of experience in event management, client/partner relations, or B2B sponsorship delivery
  • Strong verbal and written communication skills (English fluency required)
  • Client-centric mindset with a proactive, solutions-oriented approach
  • Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
  • Confident, professional, and personable; able to build relationships and work effectively with senior stakeholders and strong personalities
  • Demonstrated project management capability with a structured, deadline-driven approach
  • Experience with event and project management tools such as Monday.com (preferred) and CVENT (preferred) – or the ability to learn these systems quickly.
  • Familiarity with CRM systems and virtual collaboration tools such as MS Teams and Zoom
  • Experience with WordPress or similar CMS platforms is a plus
  • Self-starter with the ability to work independently while collaborating across distributed teams

Sample of Event Types You’ll Support

  • Regional Canadian Summits (Toronto, Calgary, Vancouver)
  • Custom, single-sponsor executive roundtables (private dinners across North America – no travel required)
  • Virtual roundtables and client webinars

Additional Context

This is not a single-event ownership role. Success in this position requires effectively managing a portfolio of concurrent events with varying formats, stakeholders, and client expectations, while maintaining a consistently high standard of delivery and client experience.
