We are currently recruiting a Project Management Officer (PMO) / Junior Project Manager (JPM) for the Finance Regulatory Reporting and Data Management Department in our Amsterdam office.

Your impact at MUFG

The PMO/JPM is responsible for supporting the Programme manager Finance and Project Managers in his/her role to coordinate and manage all aspects of Regulatory reporting and Data Management projects. These projects are driven by regulatory requirements, MBE strategic roadmap (including Data Strategy) and Tokyo Head Office (HO) guidelines. As PMO you will be (immediately) part of one of the largest strategic projects within MBE. As JPM you will take responsibility for smaller initiatives under directive of the Programme manager Finance (your line manager also). On average your time consumption will be approximately 60% PMO and 40% JPM.

Key responsibilities:

  • Monitors project progress pro-actively; escalates if appropriate.
  • Sees to a timely and thorough preparation of documentation, meetings etc.
    • Prepare power point packs for formal meetings like steering committee meetings (executive level). Being a master in PowerPoint and the like is a must have capability
    • Organize logistics: onboarding of new project resources, organize and plan recurring (steering committee meetings) and ad hoc meetings, capture and share minutes of the meeting, align with senior secretaries in case Management Board members are involved
  • Ensures compliance with in-and external regulations. 
  • Ensure, establish and maintain the Project Management Standards (MBE Project Management Framework - PMF), and best practice, ensuring that project is executed efficiently. Including monitoring of audit findings whereby PMO acts as spokesperson for audit department
  • A can-do attitude and commercial mind-set with experienced in working to targets and is not afraid to get their hands dirty where necessary. This is not a 9 to 5 job. Working in Change is very different from business as usual (BAU) work
  • Overseeing a fast-paced project portfolio with the ability to optimize and or offer support to guarantee timelines and requirements are met
  • Takes direct responsibility and accountability for smaller initiatives
  • Coordinate the project management team and delegate tasks.
  • Monitor expenditures and create detailed reports for upper management
  • Administration miscellaneous like monitoring of time capturing by project members
  • Follow up on outstanding requests with Service Desk
  • Being assistant for executives on an ad hoc basis
  • Builds and maintains a platform for collaboration and information sharing
  • Expected to initiate and implement improvements individually

In order to be successful in the role, you will need the following:

  • Master’s degree and minimum 3-4 years of experience as a Project Manager Officer and/or PMO lead, in the financial industry. And as (junior) project manager you need to bring 1-2 years of experience.
  • Project Management (from planning to evaluation).
  • End-to-end processes and front office workflows.
  • Change Management (tools and methodologies such as SWOT, gap analyses etc.) .
  • Working in an international matrix organization
  • Strong communication skills (verbal and written)
  • Critical and advisory attitude. e.g. not just making the notes (capturing) but also take care of the messaging, audience, etc. The PMO should act as right hand for the PMs. 
  • Planning and organization (solving problems, managing relations and short timelines).
  • Common IT applications
  • Specific IT applications: Jira, Confluence, MS Projects, MS Lists, Service Now, Plan View (preferred)
  • The function also requires knowledge and understanding/experience of / with the bank's business, policies, rules and guidelines. 

Project Administration support tasks

  • Plan, organize, update and steer actions for project implementations.
  • Support on developing project deliverables based on requirements.
  • Linking pin within the team and to other stakeholders.
  • Organize and facilitate meetings.
  • Support on HR related (administrative)  activities.
  • Check and prepare material as needed for project activities.
  • Design and update a range of schedules and action lists.
