Senior Executive Assistant to the CEO

Compensation: Competitive + equity (BSPCE/stock options)

Location: Paris (onsite)

 

We're hiring a Senior Executive Assistant to the CEO to make Matthieu (Matt) more effective by removing logistics, scheduling, and coordination overhead from his day-to-day. This is a high-trust role with significant autonomy: you will own Matt's calendar and travel logistics end-to-end, anticipate needs, and keep key operating rhythms moving.


About the Role

  • Provide high-level administrative support: anticipate needs, remove friction, and handle day-to-day logistics so Matt can focus on high-leverage work.

  • Own the calendar end-to-end: manage scheduling, protect focus time, continuously reschedule as priorities and travel change, and keep meetings flowing smoothly.

  • Run travel and events planning with zero dropped balls: flights, trains, hotels, ground transport, speaking/press/partner engagements, visas, backup options, confirmations, and day-of execution so surprises are handled before they reach Matt.

  • Coordinate team and leadership logistics: organise lunches and gatherings when Matt is with teams (e.g. London, NYC visits), and support leadership offsites and seminars when needed.

  • Support operating cadence (as it fits the role and trust level): help collect topics, build agendas, and keep weekly/recurring exec meetings on track. Capture notes when appropriate.

  • Handle 'always gets postponed' tasks: protect personal constraints when booking professional appointments, manage medical and family calendar constraints (nanny/school), and unblock small projects that otherwise linger.

  • Be the go-to for admin workflows: document signatures, passport renewals, expenses, and requests from legal/finance that require CEO input or personal information.

How You'll Work With Matt

  • You will have clear ownership and autonomy, with batched questions when you're blocked and quick yes/no decisions from Matt.

  • Communication will be lightweight and pragmatic (e.g. Slack/WhatsApp/email), with calls reserved for truly urgent topics.

  • Inbox support can evolve over time — we can start with forwarding/triage patterns and expand access as trust builds.

About You

  • You have 5+ years of experience supporting a senior executive in a fast-paced environment, and you can demonstrate strong ownership of calendar and travel.

  • You are highly proactive: you anticipate issues early (confirmations, documents, time zones, buffers) and build in backups.

  • You have excellent judgement, discretion, and a strong sense of confidentiality, and you handle sensitive information with care.

  • You have strong stakeholder management skills, and you can navigate priorities across a wide set of internal and external contacts.

  • You communicate clearly and efficiently (verbal and written), and are comfortable making decisions in ambiguity.

  • You are organised and detail-oriented, while staying calm when plans change.

  • You are comfortable with collaborative AI and office tools (Notion, Google Workspace, Slack) and you keep systems tidy.

  • You bring strong problem-solving skills and a business-oriented mindset.

  • You are fluent in French and English.

  • Matt's travel runs smoothly: no missed bookings, missing confirmations, or last-minute visa/document surprises.

  • Matt's calendar becomes a tool for focus: fewer context switches, better buffers, and fewer scheduling back-and-forths.

  • Team and meeting logistics are consistently handled without escalations.

  • Recurring rhythms (where applicable) are dependable: agendas, attendees, and logistics are ready ahead of time.

  • Small but important tasks no longer linger for weeks.

Note: Visa sponsorship and relocation support are only available for positions based in France. We cannot sponsor visas for remote positions outside of France.


Hiring Process

  3. Practical exercise (lightweight) and review (45–60 min)

  4. Deep dive on assignment with Donovan & Matt (30 min)

  5. Final stage culture interview (2–3 hours total)
