Job description

Our client, a long-established US community association management company (Arizona-based) specializing in large-scale, master-planned communities, is hiring a Transition Support Specialist — Accounting & Administration. This person manages the incoming and outgoing community transition process, serving as the single point of contact for the company while also handling the accounting work that every transition requires.

It is a hybrid role: part transition project manager, part transition accountant. You coordinate internal teams and external management companies to a deadline, and you personally handle the trial-balance imports, cash reconciliations, A/R, and month-end close that move a community cleanly from one set of books to another. You will work full-time, remotely, on a schedule that overlaps US Mountain Time business hours.

What You’ll Accomplish

  • Oversee the execution of incoming management contracts and notify internal teams in good time.
  • Act as the primary point of contact for the prior or new management company, monitoring and communicating outstanding items and follow-ups.
  • Import trial balances, homeowner data, and A/R balances; reconcile prior-management-company cash; run month-end close; and hand responsibilities to the Community Accounting team.
  • Request, receive, organize, and track every transition-related document.
  • Assign tasks to internal teams and monitor progress to ensure timely completion.
  • Track and manage task deadlines so internal parties meet their goals.
  • Provide regular, summarized transition-status reports for Leadership Team review.
  • Develop and distribute standardized collateral (welcome letters, checklists) that support the transition.
  • Identify process improvements that increase efficiency and improve the transition experience.
  • Transfer and enroll utilities on autopay, and manage and track subsidy billing distributions.
  • Perform additional duties as needed to support the transition process.

Requirements

  • Bachelor’s degree in Accounting or Finance.
  • 2+ years of experience in project management, administration, accounting, or a related field.
  • Solid accounting knowledge and hands-on experience with accrual accounting.
  • Intermediate knowledge of Microsoft Office (Word, Excel, Outlook).
  • Highly organized and detail-oriented, able to multitask and meet deadlines.
  • Able to work independently with limited supervision.
  • Able to establish and maintain good working relationships.
  • A positive attitude and effective written and verbal communication with audiences at every level, inside and outside the company.
  • Able to maintain confidentiality of information.
  • An analytical thinker with strong problem-solving skills.

Preferred: Community management / HOA industry experience (highly preferred); familiarity with community association accounting software; prior remote work with US or other Western clients.
