About the Role:

We are seeking a highly organized and detail-oriented Event Coordinator to join our team. In this role, you will be responsible for managing and coordinating various aspects of client events, ensuring seamless execution and high-quality deliverables. The ideal candidate is proactive, tech-savvy, and has excellent communication skills. You will work closely with internal teams and clients to ensure all event-related tasks are completed efficiently and to the highest standards.

This is a 100% Remote work

Key Responsibilities:

Daily Tasks:

  1. Account Management:
    • Log in to and manage multiple accounts, including Slack, Asana, Gmail, and Google Drive.
    • Monitor and respond to emails across 15+ client inboxes within 24 hours (preferably within 3 hours).
  2. Event Coordination:
    • Prepare and send daily outgoing emails, including registration updates and event reminders.
    • Update client event campaigns with event details, client SOP information, and upcoming meeting notes.
    • Review events happening 30, 60, and 90 days out, as well as active and pending events.
    • Complete event masters for all assigned clients' upcoming events.
  3. Quality Control:
    • Review all client event websites, microsites, forms, and mobile views for accuracy.
    • Ensure event details match the event master, including company name, event name, dates, times, location, and branding.
    • Verify spelling, grammar, and links on all deliverables.
    • Test registration forms, ensuring required fields (name, email, company, phone number) are included.
  4. Team Collaboration:
    • Coordinate with project managers, sales teams, and HR to ensure smooth event execution.
    • Attend client meetings, take detailed minutes, and follow up on action items.
    • Assign tasks in Asana and ensure all tasks are completed on time.
  5. File Organization:
    • Organize Google Drive files for each client and event, applying naming standards consistently.
    • Save and link invitation files (PDF and PNG) in the event master.

Qualifications:

  • Experience: 2+ years of experience in event coordination, project management, or a similar role.
  • Skills:
    • Proficiency in Slack, Asana, Gmail, Google Drive, Wix, Canva, Zoom, and Slicktext is a plus.
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Attention to detail and accuracy in managing multiple tasks.
    • Ability to work independently and proactively in a remote environment.
