Position Summary

The Owner Statements Specialist is responsible for preparing accurate and timely monthly owner statements for all managed properties across Canada and Latin America.

This role serves as the bridge between Revenue Management, Operations, Distribution, and Accounting teams to ensure owners receive transparent financial reporting, accurate payments, and exceptional service.

The ideal candidate is highly detail-oriented, analytical, and comfortable working with property management systems, accounting software, and large datasets.

Main Responsibilities

Monthly Owner Statements

  • Prepare monthly owner statements for all managed properties.
  • Validate gross revenue from all booking channels including direct bookings, OTAs, and corporate accounts.
  • Verify commissions, management fees, and deductions.
  • Ensure owner statements are delivered within the established monthly deadline.

Owner Payments

  • Calculate monthly owner payouts.
  • Coordinate owner payments with the Accounting team.
  • Verify banking information and payment methods.
  • Track outstanding balances and adjustments.

Revenue Reconciliation

  • Reconcile revenue between PMS systems, OTA extranets, payment processors, and bank accounts.
  • Investigate discrepancies and resolve reporting issues.
  • Validate reservation data accuracy.

Expense Management

  • Review and validate maintenance charges billed back to owners.
  • Verify housekeeping, supplies, utility charges, and other deductions.
  • Ensure expenses comply with management agreements.

Reporting

  • Produce monthly owner performance reports.
  • Track occupancy, ADR, RevPAR, and revenue trends.
  • Prepare ad hoc reports for management and owners when required.

Owner Support

  • Respond to owner inquiries related to statements and payments.
  • Explain financial reports and account adjustments.
  • Escalate operational issues to the appropriate departments.

Process Improvement

  • Identify opportunities to automate reporting processes.
  • Improve statement accuracy and delivery speed.
  • Participate in system implementations and integrations.

Required Qualifications

  • 3+ years of experience in accounting, property management accounting, hospitality finance, or owner reporting.
  • Strong Excel or Google Sheets skills.
  • Experience working with PMS systems such as Guesty, Hostaway, or similar platforms.
  • Excellent analytical and problem-solving skills.
  • High attention to detail and accuracy.
  • Professional written and verbal English communication skills.
  • Ability to manage deadlines and monthly reporting cycles.

Preferred Qualifications

  • Experience in short-term rentals, corporate housing, multifamily, or hospitality.
  • Experience with QuickBooks, Xero, or similar accounting software.
  • Experience working with OTA reporting including Airbnb, Booking.com, Expedia, and direct channels.
  • Knowledge of trust accounting and owner accounting principles.
  • Experience with HubSpot and reporting tools.
