Job description

We are seeking a highly organized, detail-oriented Executive Assistant with an operations background to provide high-level administrative and operational support to executive leadership. This fully remote role requires exceptional professionalism, strong technical proficiency, operational awareness, and the ability to manage highly sensitive and confidential information with accuracy and discretion. The ideal candidate understands business operations, anticipates executive needs, and contributes to process efficiency in a regulated environment.
Key Responsibilities

Provide high-level administrative support to executive leadership, including strategic calendar management, meeting coordination, digital file organization, and leveraging advanced technology tools (Microsoft 365, Teams, document management systems, and virtual meeting platforms) to enhance efficiency, accuracy, executive productivity, and the secure handling of sensitive and confidential information in a remote environment
Manage and prioritize executive emails, correspondence, and requests with professionalism and attention to detail
Coordinate virtual meetings, prepare agendas, capture accurate meeting notes, and track follow-up action items
Prepare, review, edit, and format reports, presentations, and internal communications
Serve as a liaison between executive leadership, internal teams, external partners, and stakeholders
Maintain organized, compliant, and secure digital filing systems and records
Assist with project coordination, deadlines, and special initiatives as assigned
Anticipate executive needs and proactively identify opportunities to improve workflows, processes, and efficiency

Required Qualifications

Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior or executive leadership
Exceptional attention to detail and strong organizational skills
Demonstrated ability to handle confidential and sensitive information with discretion and professionalism
Advanced proficiency with Microsoft 365, Microsoft Teams, document management systems, and virtual meeting platforms
Strong written and verbal communication skills
Ability to work independently and effectively in a fully remote environment
High level of reliability, professionalism, and judgment

Preferred Qualifications

Experience in insurance, healthcare, financial services, or other regulated industries
Familiarity with long-term care insurance or related terminology
Experience supporting C-level executives in a remote or hybrid environment
