Job description

Journey Clinical is on a mission to transform the growing mental health crisis by accelerating the adoption of frontier treatments that lead to lasting improvements in clinical outcomes. We have built a turnkey healthtech platform to safely and effectively expand access to a powerful modality known as Psychedelic-Assisted Psychotherapy, starting with Ketamine-Assisted Psychotherapy (KAP). In our patient-centered collaborative care model, licensed psychotherapists in the network take on the psychotherapy, while Journey Clinical's in-house medical team takes on patient eligibility, treatment plan and outcome monitoring. Our platform gives psychotherapists passionate about PAP the infrastructure and support required to become empowered KAP providers, while enabling higher standards of patient care and enhanced clinical outcomes.

We're hiring a Patient & Site Operations Coordinator to support our rapidly scaling network of Spravato® (esketamine) treatment clinics across the United States. This is a unique opportunity to work within an innovative, fast-growing business model that operates remotely while overseeing in-person clinical operations at partner sites nationwide.

This role is the operational backbone of our network — ensuring patients move smoothly through scheduling, intake, dosing sessions, and follow-up across multiple sites, while keeping each location compliant and running efficiently for clinicians and patients alike. This is a hands-on, detail-driven role best suited for someone who has already worked inside a Spravato clinic and understands the specific rhythm, compliance requirements, and patient flow unique to esketamine treatment programs — and who's ready to apply that expertise at a multi-site, network level.

 

What You'll Do

  • Support day-to-day operations across a growing network of Spravato treatment sites, including scheduling, session flow, and patient throughput for cohorts of patients at multiple locations

  • Coordinate intake logistics, insurance prior authorization tracking, and REMS-required documentation across sites

  • Serve as a point of contact for patients regarding scheduling, session prep, and program questions

  • Monitor and ensure all existing sites in the network remain compliant with Spravato REMS program requirements, flagging gaps and partnering with site teams to resolve them

  • Manage supply inventory tracking (Spravato stock, monitoring equipment) and reorder logistics across sites

  • Track patient outcomes data and session completion rates across the network for program reporting

  • Collaborate with the site setup team, revenue cycle management team, and clinical operations to escalate patient needs and execute on any necessary workflow changes 

  • Use your day to day experience to inform discussions with Product as we build out new systems and features to support our growing network

  • Troubleshoot day-of operational issues (no-shows, scheduling conflicts, adverse events escalation) remotely and in real time

  • Support onboarding of new clinicians or partner sites into existing Spravato operational workflows as the network scales

Required Qualifications

  • Minimum 2+ years of hands-on operations experience specifically within a Spravato® (esketamine) clinic 

  • Demonstrated understanding of REMS compliance requirements and esketamine-specific monitoring protocols

  • Strong organizational and multitasking skills, with proven ability to manage multiple patients/sessions/sites simultaneously

  • Comfort working remotely while coordinating real-time operations at in-person clinical sites

  • Comfort with EHR systems, scheduling platforms, and insurance prior-authorization workflows

  • Excellent communication skills, both patient-facing and inter-team

  • High attention to detail and reliability with documentation and compliance protocols

Preferred Qualifications

  • Experience with multi-site or multi-clinician Spravato operations

  • Familiarity with behavioral health or psychiatric outpatient settings beyond Spravato specifically

  • Experience training or onboarding new staff into clinical operations workflows

  • Experience working remotely in a fast-scaling, multi-location healthcare operations role
