We’re seeking a Virtual Assistant to support one of our esteemed clients in the legal industry - a respected U.S. law firm recognized for its professionalism, responsiveness, and client-centric approach. This role combines executive support, legal administrative assistance, and client intake management - ideal for someone with a paralegal background who excels in a structured yet fast-paced environment.

What You’ll Be Doing

As a Virtual Assistant, you’ll act as the primary support for the Managing Partner and the first point of contact for potential clients. You’ll manage communications, coordinate schedules, and guide leads through the intake process, ensuring every interaction reflects the firm’s credibility and care.

Your Core Responsibilities

  • Executive Assistant Support
    • Manage and organize the Managing Partner’s inbox, flagging priority emails and drafting responses when appropriate.
    • Handle inbound calls from clients, partners, and vendors in a professional and empathetic manner.
    • Schedule meetings, consultations, and personal appointments to maintain calendar balance.
    • Prepare agendas, gather case-related documents, and track follow-up actions.
    • Support office administration and occasional internal initiatives.
  • Lead Qualification & Client Intake
    • Answer inbound calls and messages from potential clients during business hours using Lawmatics and PracticePanther CRMs.
    • Qualify leads through structured scripts and guided questions based on firm criteria.
    • Schedule consultations directly with the Managing Partner or assigned team members.
    • Collect and organize intake documents such as arrest reports, warrants, or case details.
    • Follow up with leads who have not yet scheduled or completed documentation.
    • Re-engage warm leads and ensure no potential client falls through the cracks.
  • Process Optimization & Tracking
    • Create and refine client intake scripts that maintain both accuracy and natural flow.
    • Track and report key metrics: calls handled, leads qualified, appointments booked, and show-up rates.
    • Collaborate with the Aventus and law firm teams to streamline the process from inquiry to consultation.
    • Support testing of AI answering or automation tools to enhance after-hours responsiveness.

What You’ll Bring to the Table

  • Experience: Minimum 2 years as a Paralegal, Legal Assistant, or Executive Assistant (law firm experience preferred).
  • Client Management: Skilled in intake calls, lead qualification, and follow-up communication.
  • Organization: Excellent multitasking, scheduling, and documentation skills.
  • Communication: Strong English proficiency with a polished, professional phone presence.
  • Tech Fluency: Experience using CRMs (Lawmatics, PracticePanther), Google Workspace, and VoIP tools.
  • Professionalism: High discretion when handling confidential or sensitive legal information.
