Sales Assistant (CRM, Scheduling & Sales Operations Support) – Remote

About the Role

At Pavago, one of our clients is hiring a highly organized and execution-focused Sales Assistant to support a fast-moving sales team by managing:

  • CRM updates
  • Scheduling and calendar coordination

This is not a direct selling role.

Instead, you’ll play a critical role in helping the sales team:

What You’ll Own

CRM Management & Sales Operations

  • Maintain accurate CRM records within:
    • Salesforce
    • HubSpot
    • Zoho CRM
    • Pipedrive
  • Update:
    • Leads
    • Contacts
    • Opportunities
    • Pipeline stages
    • Activity notes
  • Remove duplicate records and maintain CRM hygiene
  • Ensure pipeline visibility and reporting accuracy
  • Support overall sales operations and workflow organization

Scheduling & Sales Coordination

  • Schedule:
    • Sales calls
    • Product demos
    • Follow-up meetings
    • Internal meetings
  • Coordinate across multiple time zones using:
    • Google Calendar
    • Outlook
    • Calendly
  • Manage scheduling logistics and confirmations
  • Ensure sales representatives are prepared with:
    • Meeting context
    • Supporting materials
    • Agendas
  • Organize follow-ups and internal coordination activities

Proposal & Document Support

  • Prepare, format, and proofread:
    • Proposals
    • Quotes
    • Sales presentations
    • Client-facing documents
  • Support RFP and RFI responses using templates and approved materials
  • Create polished sales assets using:
    • Google Slides
    • PowerPoint
    • Canva
  • Maintain organized document structures and version control

Reporting & Pipeline Tracking

  • Generate:
    • Weekly sales reports
    • Pipeline dashboards
    • KPI tracking updates
  • Track:
    • Pipeline activity
    • Conversion metrics

  • Ensure leadership has clear visibility into sales operations and reporting

Communication & Follow-Ups

  • Draft professional:
    • Follow-up emails
    • Meeting summaries

    • Next-step updates
  • Support inbound lead coordination and routing
  • Maintain responsive and organized communication across teams and prospects

Cross-Functional Coordination

  • Collaborate with:
